Healthcare software providers · Buyer persona

Write down who signs, who uses and who can say no in each clinic and hospital.

A buyer persona for a healthcare software provider describes the separate people in one sale: the doctor who pays, the receptionist who uses it, the administrator who compares and the IT head who checks the data. GullySales builds one persona per buyer role and speciality from your own demo and support history.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What buyer persona means

A buyer persona is a plain description of the kind of customer who actually buys from you. It includes what they search, what worries them and who else they ask before deciding. GullySales builds this from real enquiries and past sales rather than a generic template, then uses it to write every page and advert.

Last updated 18 Oct 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For healthcare software providers

Where it usually goes wrong, and what we would do.

  • “The doctor signs and the receptionist lives with it”

A solo doctor may approve the purchase in one conversation. The receptionist then enters every patient. A persona for the front desk records what slows them, what language they work in and what makes them stop using a screen.

  • “The administrator compares and wants proof of scale”

A hospital administrator is judged on cost, uptime and staff complaints. They ask for a reference of similar size and a clear account of how billing, pharmacy and insurance connect. Their persona names those fears in their own words.

  • “The IT head holds the data question”

Where records are stored, who can see them and what happens if the contract ends are the IT head's questions. A persona for this role lists them so your salesperson answers before being asked.

  • “A lab owner and a pharmacy owner buy for different reasons”

A lab owner worries about sample tracking and report printing. A pharmacy owner watches billing speed and expiry stock. Treating both as healthcare owners flattens the problem each is trying to fix.

What we do

What we deliver for healthcare software providers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Doctor persona by speciality

A profile for each speciality you support, covering the working day, the tools now in use, what starts the search and who they ask for advice.

Result: One profile per speciality, built from real demo notes.

  2. Receptionist and front-desk persona

A profile of the person who enters the data, including the language, the speed they need and what makes a screen feel slow.

Result: Trial guides are written to this profile.

  3. Hospital committee personas

Profiles for the administrator, medical director, IT head and finance contact, each with their own questions and objections.

Result: Your salesperson knows which question each person will ask first.

  4. Lab and pharmacy owner personas

Profiles for the owner of a diagnostic lab and of a pharmacy, each built on that trade's daily problem.

Result: Outreach opens with a problem each owner recognises.

  5. Checking the persona against lost deals

A comparison of each profile with the deals you lost or that went silent, to see where the profile is wrong.

Result: Each persona carries a note of what was corrected.

How the result is measured

  • Enquiry match to persona
  • Conversion rate by persona
  • Content aligned to persona

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the buyer persona work runs

  1. 1

    Understand the current view

We start with how your team currently describes the customer, since the gap between belief and reality is often the finding itself.

  2. 2

    Audit past enquiries and sales

We look at recent enquiries and closed deals to see who actually bought, not who was assumed to buy.

  3. 3

    Interview customers and staff

Short, structured conversations surface the real language, worries and triggers behind a purchase.

  4. 4

    Build the personas

Findings are written into short, usable persona documents rather than a long report.

  5. 5

    Apply to your marketing

We show exactly where each persona should change a page, an ad or a script you already have.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

How many personas do we need?
Start with the roles that appear in your closed sales: the doctor and the front desk for clinics, and the administrator and IT head for hospitals. Add more when a role keeps appearing in lost deals.
Where does the information come from?
From your demo recordings, trial records, support tickets and calls with current customers. We write down what buyers said and keep opinions out until a buyer confirms them.
Do personas change how we talk to doctors?
Yes. A persona decides the first line of a message, the page a visitor lands on and the question a salesperson asks. Advertising rules for doctors differ by state, so check any wording with your adviser.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
