Psychiatry clinics · WhatsApp marketing

Answer on WhatsApp the way a good receptionist answers a frightened caller.

WhatsApp for a psychiatry clinic is the channel a hesitant patient or relative picks because it feels private and unhurried. GullySales works on the first reply, the booking steps and the consent rules for any message beyond a reply.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

Psychiatry clinics: show a real physical business scene illustrating Appointments for assessments and follow ups. Book assessments, reviews and therapy sessions by clinician and room, including video consultations, with reminders before each visit.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

Last updated 18 Oct 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For psychiatry clinics

Where it usually goes wrong, and what we would do.

  • “A message is easier to write than a call is to make”

Someone who cannot say the words aloud will type them. That message carries weeks of hesitation, and the reply is the clinic's first appearance in their life. Its tone decides whether a second message is ever sent.

  • “A business account is a front desk, not a diary”

A personal number on the doctor's phone mixes patients with family. A business account gives the clinic a name, hours, a greeting and saved replies, and keeps patient messages away from private chats.

  • “Broadcasts need explicit consent”

Sending awareness messages to everyone in the phone book breaks trust and the platform's rules. Only people who asked to hear from the clinic should receive anything beyond a reply, and each needs an easy way out.

  • “Voice notes and photos arrive unasked”

A patient may send a prescription photo, a long voice note or a report. The clinic needs a rule on what is read, where it is stored and what is said back, because clinical content sent in a chat is not an appointment request.

What we do

What we deliver for psychiatry clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business account set up for the clinic

Name, greeting, hours and an away message that gives emergency instructions first.

Result: An after-hours message points a person in crisis to help.

  2. A set of approved replies

Saved answers for address, hours, language, first-visit questions and privacy, each reviewed by the doctor.

Result: Every member of staff answers in the same kind words.

  3. A booking path from first message to confirmed time

A short exchange asking only for a name, a number and a preferred slot.

Result: A booking needs no reason typed.

  4. Consent capture

A plain request, made once, to send reminders on this channel, with the answer recorded.

Result: The register shows who agreed.

  5. A rule for attachments and voice notes

What staff do when clinical material arrives in a chat, and the sentence they reply with.

Result: Clinical material is routed to the doctor, not kept in a chat.

  6. A count from conversation to booking

Conversations started, first appointments booked and reviews kept, taken from the register.

Result: One sheet shows how many chats became appointments.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the whatsapp marketing work runs

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

May we send reminders on WhatsApp?
Only to patients who agreed, and through the route the platform provides for business messages. Check the platform's current rules. A reminder carries the date and the clinic's name and nothing about the illness.
Can the doctor use a personal number?
A business account keeps patients apart from family and lets staff answer while the doctor is with a patient. Patients writing to a personal number is a confidentiality problem, so we recommend the business account.
Should we use a chatbot?
A bot suits routine questions such as address and hours, and it should say plainly that it is a bot. It must hand over to a person for anything about distress or medicines. Never use one to answer clinical questions.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
