Aesthetic, hair and cosmetic clinics · Follow up systems
Answer the question the patient took home, before another clinic does.
A follow-up system for an aesthetic clinic is the set of calls, messages and reminders that carry a patient from the consultation to a signed plan, and from the signed plan to the last session. The revenue sits in patients who said they would think about it. GullySales designs the sequence, the scripts and the ownership.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means
A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For aesthetic, hair and cosmetic clinics
Where it usually goes wrong, and what we would do.
“I will think about it is a question, not a refusal”
A patient who leaves without signing is carrying an unanswered doubt about price, safety, the doctor or a spouse's view. Without a call that asks what the doubt is, the patient resolves it alone or in another clinic's reception.
“The second visit is the real decision”
A spouse or parent joins and asks the questions the patient did not. A follow-up that offers a second visit, with the doctor and the written plan on the table, speaks to the person who will actually say yes.
“Packages break in the middle”
Laser, aligner and skin packages run over repeated sessions. Patients drift away after a few visits when nobody calls about a missed one. Follow-up here protects the result already paid for and the next treatment the patient may want.
“Too much follow-up is its own failure”
Daily calls after a consultation feel like pressure on a patient making a personal and expensive choice. A defined sequence with a clear last step respects the patient and protects the clinic's name.
What we do
What we deliver for aesthetic, hair and cosmetic clinics.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
A post-consultation sequence
A short series of calls and messages sent after a patient leaves without signing, each with a purpose such as answering a doubt, sharing the written plan or offering a second visit.
Result: Each undecided patient has a defined next step and an end point.
Objection-by-objection scripts
Scripts for price, fear of the procedure, comparison with another clinic and need to consult family, written in a plain, respectful register.
Result: Counsellors answer the same doubt the same honest way.
Plan and EMI summary messages
A clear message that restates the treatment, the total and the EMI terms in plain numbers, supplied by your clinic, ready to send after the visit.
Result: The patient can show the plan to a spouse without a phone call.
Session reminders and missed-session calls
Reminders before each session and a call after a missed one, for packages that run across repeated visits.
Result: A missed session is noticed and followed up by a named person.
A stop rule
A written point at which the sequence ends and the patient is left in peace, with a door open for later.
Result: The team knows when to stop calling.
How the result is measured
- Follow-up completion rate
- Average number of follow-ups before close
- Enquiries closed after repeat follow-up
Recorded as a baseline before work starts, so every later report has an honest comparison.
What to capture or send
The points after a consultation that need a call or a written plan.
- Consultation done, patient undecided
- Record the objection in one line and send the written plan that day. The patient takes it home, and the spouse reads it before the clinic calls again.
- Price compared with another clinic
- Note what the patient says the other clinic quoted and what that quote included. Reply with what your plan covers, never with a cut in price.
- EMI question raised
- Capture the question and send a plain summary of the terms offered. Many patients decide only once the instalment figure and the total are written down.
- Session missed mid-package
- Log the missed visit and call the same day. A patient who stops after the third session needs a reason to return, and the counsellor must ask for it.
- Patient asks to stop messages
- Record the request with the date and remove the patient from all lists. This is the stop rule, and it applies at once.

Not for
It is not the right fit if.
- Nobody at the clinic is assigned to call patients after the consultation, so a follow-up plan would have no one to run it.
- You want to chase patients who said no firmly, which turns follow-up into pressure and may bring complaints.
How it works
How the follow up systems work runs
The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.
- 1
Measure today's reply time
From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.
- 2
Agree targets and the sequence
We set reply targets and the follow-up sequence with your team, based on its real hours and workload.
- 3
Write the templates and first-call questions
The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.
- 4
Set ownership, tasks and alerts
Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.
- 5
Track and adjust
Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.
Where this fits
Three pieces of sales work, in this order.
This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

Sales audit

Step 2 · you are here
Sales process design
One written way to sell, from first enquiry to repeat order.
Start here if every salesperson sells differently.
Step 3
Sales management
A target, a review routine and someone who owns the number.
Start here if the team has targets and no routine.
