Dental clinics · Sales metrics
Track quote-to-booking conversion, not just how many people called.
Sales metrics for a dental clinic are the small set of numbers that show whether enquiries turn into booked, kept appointments. Reply time and the share of quotes that convert are the two that matter most. GullySales sets these up once and reports them.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What sales metrics means
Sales metrics are the specific numbers, such as call volume, conversion rate and average deal size, that show whether a sales team is actually improving. GullySales reports these by enquiry outcome rather than activity, the same enquiry-based reporting used across every engagement.

For dental clinics
Where it usually goes wrong, and what we would do.
“Call volume alone hides the real problem”
A clinic getting plenty of calls can still be losing patients if very few quotes are actually followed up and booked.
“Reply time predicts lost enquiries”
Tracking how long a WhatsApp message waits before a reply shows almost exactly where patients choose another clinic.
“No-show rate deserves its own number”
Tracking how many booked appointments are missed shows whether the reminder system is doing its job.
What we do
What we deliver for dental clinics.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
Quote-to-booking conversion tracked by treatment
The share of quotes that turn into a booked appointment, tracked separately for each priority treatment rather than as one clinic-wide figure.
Result: You can see exactly which treatment's quote conversation needs work.
Reply-time tracking across phone and WhatsApp
A record of how long a call or WhatsApp message waits before a reply, checked against your existing enquiry log.
Result: You can see almost exactly where a slow reply is costing a patient.
No-show rate tracked against the reminder system
A count of booked appointments that are missed, checked against whether a reminder was actually sent for that appointment.
Result: You know whether the reminder system is preventing missed appointments.
A single scorecard for the front desk
Reply time, quote conversion and no-show rate brought onto one page, reported against the baseline recorded before work began.
Result: The whole front desk performance fits on one page you can actually read.
Metric definitions agreed and written down once
A short document defining exactly what counts as an enquiry, a quote and a booking, so the numbers mean the same thing every month.
Result: Everyone in the clinic is counting the same thing the same way.
How the result is measured
- Conversion rate
- Average deal size
- Sales cycle length
Recorded as a baseline before work starts, so every later report has an honest comparison.
Numbers worth tracking
The numbers a dental clinic can work out from its appointment book and enquiry register.
- Enquiries by treatment asked about
- Note the treatment in every call, WhatsApp and Practo enquiry: root canal, implant, aligners, cleaning or a child's check-up. Count by treatment. It shows which treatment pages bring patients and which bring none.
- Implant and aligner plans awaiting a decision
- Keep a list of patients given a written plan for implants, aligners or crowns, with the date and the amount quoted. Mark who started. A plan with no start and no follow-up call goes to the top of the front desk's list.
- Root canals completed to the final sitting
- From the appointment book, take patients who began a root canal and check whether the crown or final sitting was kept. A patient who stopped midway needs a call, and the count shows whether the plan was explained clearly.
- Recall check-ups booked against those due
- List patients whose routine check-up or scaling is due in the period and mark who booked. A low share booked points to recall reminders that are not going out, or are going out and not being answered.
- Where new patients say they heard of you
- Ask at the first visit and write it on the case sheet: Google search, Maps, Practo, a family member or walking past. Count by answer. It is a plain check on which listing is worth keeping up to date.

Not for
It is not the right fit if.
- You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
- You need enquiries by next week and have nobody to answer them.
- You want posts and reach reported, not enquiries and orders.
How it works
From your first message to the first report.
No open-ended retainer. Every step gives you something in writing.
First
Your brief
You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.
After the brief
A conversation and a written scope
We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.
Before work starts
Baseline recorded
Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.
After the baseline
The first fix goes live
The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.
As agreed
Report against the baseline
What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.
At renewal
Renew on the numbers
The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.
How the sales metrics work runs
- 1
Review current metrics
We look at what is currently tracked and how consistently it is defined and calculated.
- 2
Select the core set
We agree, with you, the small number of metrics that actually matter for decisions.
- 3
Write the definitions
Exact calculation rules are documented for each one.
- 4
Build the scorecard
A simple, regular report is built around the agreed metrics and definitions.
- 5
Train the team
We run a short session on using the scorecard in reviews, not just producing it.
Why us
Why owners pick GullySales over an agency.
Marketing and sales, as one job
Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.
The person on the first call does the work
No account managers in between. You are never handed to someone you have not met.
A baseline before anything starts
Your numbers are written down on day one, so every later report compares against something honest.
The fee in writing, split three ways
Our time, your media spend and production on separate lines. You always see what goes to us.
No guarantees we cannot keep
The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.
One office, and we say so
Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.
#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.
