Dental clinics · Sales process

Fix the steps between a quote and a confirmed treatment booking.

A sales process for a dental clinic is the fixed set of steps between a patient's enquiry and a confirmed treatment booking. It covers who gives the quote, how it is explained, and when the follow-up call happens. GullySales writes this with your front desk and tracks where patients drop out.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What sales process means

A sales process is the fixed sequence of steps, such as enquiry, site visit, quote and order, that every deal is expected to pass through in the same order. GullySales writes this sequence down for your business and checks that every salesperson actually follows it.

For dental clinics

Where it usually goes wrong, and what we would do.

  • “The quote needs a follow-up date built in, not left to chance”

A patient quoted for a smile makeover who hears nothing again for weeks has usually already booked elsewhere.

  • “Emergency and planned treatment need different first steps”

A toothache call needs an immediate slot offered, while an implant enquiry needs a consultation booking and time to think.

  • “A missed appointment is a step in the process, not a dead end”

A same-day reschedule call for a no-show recovers chair time that would otherwise sit empty.

What we do

What we deliver for dental clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A written quote-to-booking process for the front desk

A step-by-step process covering who gives the quote, how it is explained and when the follow-up call happens, for the front desk to follow.

Result: A quote no longer depends on one staff member remembering to follow up.

  2. Separate first steps for emergency and planned enquiries

A clear rule for offering an immediate slot to a toothache call, and a consultation booking for a planned treatment like implants.

Result: Every enquiry gets the right first step for its urgency.

  3. A same-day reschedule step for missed appointments

A routine call placed the same day a patient misses an appointment, aimed at recovering the chair time rather than writing the patient off.

Result: A no-show becomes a rebooked appointment more often than a lost one.

  4. A follow-up date built into every quote

A rule that no quote is given without a specific date set for the follow-up call, recorded in the CRM or day book.

Result: A patient still deciding is not left to remember to call back.

  5. Drop-out review by stage

A monthly look at where in the process patients are lost, from enquiry to quote to booking, compared with the previous month.

Result: You can see which stage of the process needs attention next.

How the result is measured

  • Deals following the process
  • Time spent at each step
  • Drop-off rate by step

Recorded as a baseline before work starts, so every later report has an honest comparison.

Steps of a sale

Move a patient from the first call to a completed treatment plan without losing them between sittings.

Booking call
Ask what is troubling the patient, since when, and whether there is swelling or pain at night. Record the complaint and how they found the clinic in the appointment register.
Examination and X-ray
After the dentist examines and takes an IOPA or OPG, explain the findings with the image on screen. Note the treatment advised and the questions the patient asked.
Treatment plan and estimate
Hand over a written plan listing each sitting, the material options such as the crown type, and the cost of each. Record the option chosen or the reason the patient wants to wait.
Booking the sittings
For a root canal or an implant, book the next sitting before the patient leaves the chair. Write every planned date in the register so a missed one shows up.
Payment across sittings
Say how payment is split across the sittings and whether card or EMI options are available. Note what was agreed so the front desk asks for the right amount at each visit.
Review visit
Book a check after the crown is fitted or the aligners finish, and ask how the bite feels. Record the date for the next cleaning in the patient's file.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the sales process work runs

  1. 1

    Study current deal flow

We trace how deals actually move today, comparing across reps and outcomes.

  2. 2

    Define the stages

Clear stages and criteria are designed to match how deals genuinely progress and close.

  3. 3

    Configure the CRM

The process is built into your CRM so it is enforced structurally, not just documented.

  4. 4

    Train the team

Reps are trained on the new process and why each stage exists.

  5. 5

    Review adoption

We check after rollout whether the process is being followed and adjust where it is not.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Can a small clinic run a formal sales process?
Yes, as a short checklist for the front desk, reviewed against the enquiry record.
Do we need special software?
A shared sheet works for a single clinic, and a simple CRM helps once enquiry volume or branches grow.
Should the dentist or the front desk discuss the treatment cost?
The dentist explains the treatment and why it is advised; the front desk or a treatment coordinator goes through the cost, the sittings and payment. Many patients feel awkward asking the dentist about money. Write the estimate on paper so both give the same figure.
A patient wants the implant cost on the phone before coming in. Should we tell them?
Give a range and what changes it, such as bone condition, the implant system and whether grafting is needed, then offer a consultation. A single figure on the phone becomes the price they hold you to before anyone has seen an X-ray. Note the range given in the register.
How soon would we see more patients?
Fixing reply time and the Maps profile shows in weeks, since the searches are already happening. Building reviews and ranking treatment pages takes months.
Do we need to advertise?
Most clinics benefit first from the profile and the reply routine. Advertising makes sense for a treatment where you need a chair filled this month.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
