HealthTech startups · CRM

Keep every clinic, hospital and pilot in one record the team can read.

A CRM for a HealthTech startup is the shared record of every clinic, hospital department, pilot and patient-side enquiry, with the people met and the next step. GullySales sets up the fields, the stages and the habits so the record reflects what actually happens.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For HealthTech startups

Where it usually goes wrong, and what we would do.

  • “A hospital is several contacts, not one”

The clinical lead, the IT head and the purchase officer each sit in a different conversation. A record with one contact per hospital forgets two of them, and the one forgotten may be the person who blocks.

  • “A clinic pilot has stages that a normal sales pipeline lacks”

Trial started, doctor using it, receptionist trained and decision meeting set are the real stages. A pipeline of lead, proposal and closed hides where a pilot is quietly dying.

  • “Patient details need a stricter home than sales notes”

Health information about a patient belongs in a place with access controls and consent records. Mixing it into a general sales sheet creates a data problem your IT reviewer will find.

  • “A record nobody updates is worse than none”

When the founder holds the truth in their head and the CRM says otherwise, the team stops trusting the tool. The routine of updating after each call matters more than which software is used.

What we do

What we deliver for HealthTech startups.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Stage design

Stages that match how a clinic trial and a hospital pilot actually progress, with a clear exit from each.

Result: Every account sits in one stage with a named next step.

  2. Account and contact fields

Fields for hospital, department, role of each person, state, pilot status and decision date.

Result: A hospital record shows every contact and their role.

  3. Separate patient-side record

A distinct list for patient enquiries and consent status, apart from buyer accounts.

Result: Patient information is held away from sales notes.

  4. Update routine

A short routine for what to record after each call or visit, and who does it.

Result: Notes are written the same day by the person who met the buyer.

  5. Tool choice

A comparison of CRM tools in ordinary use in India against your needs and your adviser's view on data.

Result: A recommendation with the reasons written down.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Fields worth keeping

Keep fields that show the pilot's progress and the contact's role.

Organisation type and size
Filled at first contact: clinic, group or hospital, and the number of doctors. It sets the sales route.
Contacts and their roles
Filled for each person on the account. It shows who is missing, such as the IT head, before the pilot reaches review.
Pilot stage
Filled by whoever runs the pilot: agreed, set up, in use, review. It tells the team whose turn it is.
Blocker named
Filled after each call. The line shows if IT review, doctor time or cost is stopping the pilot.
Introduced by
Filled at entry. It tracks which colleague, event or investor produced the account.

Who it is for

This is written for these HealthTech startups.

  • Teleconsultation and online doctor platforms
  • Clinic and hospital management software
  • Diagnostics and home sample collection startups
  • Remote monitoring and wearable device startups
  • Mental health and counselling platforms
  • Pharmacy and medicine delivery startups
  • Health insurance claims and records startups
  • Chronic care programmes for diabetes, hypertension and heart health
  • Elder care and home nursing platforms

Not for

It is not the right fit if.

  • Two founders hold every relationship in their heads and talk daily, so a shared record would cost more than it saves for now.
  • You plan to put patient data into the sales tool, which needs the stricter home that the product holds.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Which CRM should we use?
Whichever the team will update. We compare a few widely used options against your stages and data needs, and the choice is yours.
Can patient data live in the CRM?
Only if the tool and your arrangements meet the data and consent requirements your adviser confirms. We keep patient information in a separate, controlled place.
We are two founders. Do we need a CRM?
A shared sheet with the right columns can do at first. We set up the fields so that moving to a CRM later loses nothing.
How do we keep patient information away from the sales record?
Never copy a patient's name or condition into a sales note. Keep the sales record to the organisation and its staff, and leave patient data in the product under its access controls. Check your privacy duties with your adviser.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
