Locksmiths · Follow up systems

Ring back the 2am call you missed and the quote that went quiet.

Follow-up for a locksmith is what happens to the call nobody answered and the quote nobody replied to. The lockout is over by morning, but the drilled cylinder still has to be replaced. GullySales builds the call-back list, the second contact on a quote, and the note that records why each one ended.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For locksmiths

Where it usually goes wrong, and what we would do.

  • “The call you slept through at 2am is still worth returning at nine”

Somebody else opened that door, or the door was forced. Either way there is a lock to replace, and a customer who has just learned they had nobody to call.

  • “A digital lock quote goes quiet because they are comparing”

The second contact is what wins it: the model, what the price covers, the warranty and who does the fitting. A message saying just checking loses to the locksmith who sends the specification.

  • “A society decision waits for the committee meeting”

Write down the meeting date when you hand over the quote and follow up around it. Ringing the secretary every few days irritates the one person whose recommendation decides the contract.

What we do

What we deliver for locksmiths.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A missed-call list pulled off the phone each morning

Every unanswered number from the night before in one list, with the time it came in, ready to be worked through before the first job.

Result: The call you slept through turns into a lock replacement.

  2. Wording for the morning call back

What to say to somebody who was locked out at 2am: what usually happens to a cylinder in an emergency opening, and what putting it right costs.

Result: The call back is useful to them instead of awkward for you.

  3. Quote follow-up with the specification attached again

The model, the inclusions, the warranty and the fitting sent a second time in writing, so the customer comparing three locksmiths has your paper in hand.

Result: Your quote is the one they can actually compare against.

  4. Society and office quotes followed around the meeting date

The committee's meeting date recorded at the time the quote is given, and the next contact timed to it rather than to a weekly reminder.

Result: You call the secretary when there is something to decide.

  5. A fixed slot in the day for these calls

One time of day, a written list and the phone, because follow-up does not happen between jobs and never has.

Result: The list gets worked instead of remembered.

  6. The reason lost, written against every dead enquiry

Price, someone else came first, put off till next year, outside the area: recorded in a word or two for each enquiry that ended.

Result: You learn which kind of quote to stop chasing.

  7. Recovered jobs counted against the baseline

The work that came back from a call back or a second quote, counted against the enquiry figures recorded before this started.

Result: You can see what the follow-up is worth in jobs, not effort.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for locksmiths

Each missed call and unanswered quote gets a note saying who rings back and why it closed.

Call missed at night
Whoever opens the phone first thing rings the number back before the first job and asks if the door is sorted. Write down whether it was a lockout, a broken key or a forced lock.
Lockout opened, cylinder drilled
Send a message that evening saying what was done to the lock and offering to fit a new cylinder. Record the lock make and the customer's reply.
Digital lock quote, no reply
Send the model, what the price covers, the warranty and who fits it as one message. Ring once after that and record the competing quote if the customer mentions it.
Society or RWA enquiry
Ask the secretary who decides, when the committee meets and whether a work order is needed. Note the meeting date and the person to ring just before it.
Car key programming enquiry
Ask the make, model and year, and whether the original key or the registration papers are available. Reply with the price and a time to come, then log the car against the number.
Customer says no or never answers
After the second try, mark the quote closed with the reason. Keep the number for a lock service reminder only if the customer gave you the job once.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the follow up systems work runs

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

I am on jobs all day. When am I supposed to follow up?
Not between jobs. Pick one slot, the same time daily, with the list written down in front of you. Ten call backs take twenty minutes. If you cannot hold that slot, the list and the phone belong with whoever is at the shop or at home during the day.
How many times do we chase a quote before giving up?
Two or three, and each one needs a reason to call: the specification, whether the price still holds, when your fitter is free. After that, stop and write down why it ended. Those reasons are what tell you which quotes are worth chasing next season.
Is it fine to message someone I opened a door for?
Yes, once, and only about the lock. They have just had a stressful night, so keep it short: what was done, what is worth replacing and when you can come. Avoid offers and repeated texts; a single useful message is enough.
Who should hold the follow-up list when I am alone on jobs?
Keep one list on your phone, a notes app or a shared sheet, with number, job and next step. Work through it in the gap between jobs or last thing in the evening. If a relative can ring back for you, give them the wording.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
