Hotels · Referral marketing

The decorator and the photographer see the wedding before you do.

Referral work for a hotel is the planner who recommends your hall, the company down the road whose auditors need rooms, and the guest who tells a colleague. Paying a travel agent a commission is normal here in a way it is not in most trades. GullySales sets up the arrangements and puts them in writing.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What referral marketing means

Referral marketing is asking an existing customer to recommend you to someone they know, usually with a reward for both sides. It differs from a loyalty scheme because it brings in a new customer rather than a repeat purchase. GullySales builds the ask and the reward into a point where a customer is already satisfied.

For hotels

Where it usually goes wrong, and what we would do.

  • “The wedding trade recommends the venue that is easy to work in”

Planners, decorators, caterers and photographers all work inside your banquet hall. Loading access, a room to change in and a hall handed over on time decide whether they name you to the next family.

  • “The room referral nobody works is the company down the road”

A factory with visiting auditors, a hospital with patients' families, a college at admission time. That is steady weekday occupancy and none of it arrives through a search.

  • “Agent commission is expected here, so write it down”

Unlike most trades, paying for the booking is normal in this one. The trouble comes from an unwritten rate, so agree the percentage, the payment terms and who raises the invoice.

What we do

What we deliver for hotels.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A wedding trade list and a working relationship

The planners, decorators, caterers and photographers active in your city, approached with what your hall gives them rather than what it costs the family.

Result: Your venue is on the list a planner reads out.

  2. Outreach to the businesses around the property

Factories, hospitals, colleges and offices within reach, approached directly with a rate and an invitation to inspect the rooms.

Result: Weekday occupancy comes from neighbours rather than from a listing.

  3. Travel agent terms in writing

The commission, the payment terms, the cancellation treatment and who raises the invoice, agreed before the first booking rather than after a dispute.

Result: Agents keep sending bookings because payment is predictable.

  4. The referral ask at checkout

A short request to a business guest for the name of a colleague who travels the same route, made at the desk rather than by email later.

Result: One business traveller turns into an account.

  5. A forwardable page for the hall

Photographs of a real function, the capacity in each layout, parking, kitchen and an indicative package, in a form a planner can send in one message.

Result: A recommendation arrives with everything the family was going to ask.

  6. Referral source written on every booking

Where each booking came from recorded on the folio, so you know which planner, agent or company is genuinely sending business.

Result: You keep and thank the sources that work.

How the result is measured

  • Referrals received
  • Referral conversion rate
  • Cost per referred customer

Recorded as a baseline before work starts, so every later report has an honest comparison.

How referrals reach a hotel

A hotel is recommended by wedding planners, nearby companies, travel agents and the guest at checkout.

Wedding planners, photographers and decorators
Offer a site visit with the hall set up for a mock event, and a sheet of what may be changed in the hall. Agree who holds a date and for how long.
Companies and their travel desks
A travel desk compares your rate card against two others. Give the desk a named contact, a rate sheet by room type, and the check-in time and invoice details they need.
Travel agents and online partners
Write down the commission, the payment date and the cancellation terms for each agent, with a booking code. Check the agent's confirmations against your reservation list.
The guest at checkout
Ask whether a colleague or relative might visit the city, and give a card with the direct booking number.
Source code on a booking
Put a source code on every booking at the reservation desk: planner, company, agent or guest. Count which sources fill rooms, not which send the most enquiries.
What never to do
Never promise a planner's client a rate or date that is not in your own booking sheet. A verbal yes at a function becomes a dispute at the wedding.

Who it is for

This is written for these hotels.

  • Business and transit hotels
  • Boutique and heritage properties
  • Resort and destination hotels
  • Budget and mid-market chains
  • Banquet and wedding-focused properties
  • Serviced apartments and long-stay properties

Not for

It is not the right fit if.

  • You plan to pay planners or decorators a share that you have not written down or agreed with the owners
  • The hall's weekend dates are already committed, so a referral would only bring wedding families you must turn away
  • No one tracks the source on a booking, so a referral could not be credited or tested

How it works

How the referral marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the margin and the relationship

We work out what a new customer is worth and what you can pay to get one, then check whether customers know others like themselves.

  2. 2

Find the referrals you already get

Your invoices, call notes and WhatsApp threads show who already sends people to you, and who they are. That sets the starting point and the first people to ask.

  3. 3

Write the offer and the rules

The reward, the definition of a valid referral and the payout steps are agreed in writing before anything is shown to customers.

  4. 4

Build the share path and the record

The message, the link or code and the referral sheet are built. Your team tests a referral end to end, from forward to reward.

  5. 5

Start with your best customers, then widen

The first asks go to people who have already praised you. What they say about the offer decides what changes before it reaches the wider base.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 7, after the sale. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Should we pay a planner for bringing us a wedding?
It is common in this trade, and the real question is whether the family knows. An undisclosed cut inside their quote causes trouble when it surfaces. Agree terms in writing and keep the arrangement one you would be happy to explain.
How do we approach a company for corporate bookings?
Through the admin or travel desk, with a site inspection and a reference stay rather than a rate card in an email. A travel desk signs an agreement after somebody has seen the rooms.
A planner wants first call on our weekend dates. Should we agree?
Offer a date hold with a written expiry and a deposit rule rather than a right of first call. A hold that lapses protects the hall from sitting empty. Say how many holds a planner may have at once and what happens when a second planner wants the date.
How do we tell if a booking came from a planner or from the guest?
Ask at the first enquiry and put a source code on the reservation. Check it again at the deposit, because a planner often books on the guest's behalf. If the two disagree, write both names and let the written commission terms decide who is paid.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
