Cold storage operators · Customer retention

Find out which traders did not come back this season, and ring them before the next one.

Customer retention for a cold storage operator means keeping the traders, agents and food brands who store with you from one season to the next. GullySales works from your own receipts and ledgers to find who returned, who did not and why, and plans the calls.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What customer retention means

Customer retention is keeping an existing customer buying again rather than losing them to a competitor after the first purchase, usually cheaper than winning a new customer. GullySales sets a routine of check-ins and renewal reminders aimed at customers before they show signs of leaving.

For cold storage operators

Where it usually goes wrong, and what we would do.

  • “A trader changes store without telling you”

The trader tried the new cold store down the road for a lower rent, and nobody asked why until your chambers ran short.

  • “A loss claim settled badly is remembered for years”

A trader who felt cheated over sprouted stock tells every agent at the mandi, and you never see that trader again.

  • “Good customers are known only from the owner's memory”

The store depends on a few big traders and agents, and nobody has written down who they are or when they last booked.

What we do

What we deliver for cold storage operators.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A returning-trader list

Last season's traders checked against this season's bookings, with the quantity each stored and the ones who did not return at the top.

Result: You know who left before the season ends.

  2. A call plan before booking opens

Calls to each trader on the list, with a note of last season's stock, complaints and payment history in front of the caller.

Result: The call starts from what happened last time.

  3. A loss claim and settlement note

How each claim was found, what was offered and what the trader accepted, written on the record.

Result: A claim handled well strengthens the relationship.

  4. A review of year-round contracts

Food and pharma contracts listed by end date with the last audit and complaint on each, and a call to the quality contact before the date.

Result: Contract renewals are not a surprise.

  5. A thank-you at withdrawal

A call or note from the owner to the larger traders when stock leaves, asking about next season.

    Result: The trader feels remembered.

  6. A record of lapsed traders

Who left, when, the reason given and who will ring.

Result: Some come back, and the reasons for the others are known.

How the result is measured

  • Retention rate
  • Repeat purchase rate
  • Customers won back

Recorded as a baseline before work starts, so every later report has an honest comparison.

Work it out from your records

The retention figures a cold storage operator can work out from its receipts, ledgers and loading registers.

Who came back
Take last season's receipts, list each trader, then tick those who booked this season. Count the ones who did not and sort them by the quantity they stored.
Quantity stored, season by season
From the lot register, write each trader's quantity for the last few seasons side by side. A trader storing less each time is leaving slowly.
Dependence on a few customers
Add up each customer's rent from the ledger and divide it by total rent. If a few carry the year, put their names and renewal dates on the first page of the review.
Complaints and claims per trader
Count loss and shrinkage complaints from the complaint note for each trader and mark how each ended. A claim settled well can strengthen a trader's loyalty.
Year-round contracts due
List food and pharma contracts by end date and note the last audit and complaint on each. Ring the quality contact before the date, not after.
Chambers empty, month by month
From the loading and withdrawal records, mark the months each chamber stood idle. Those are the months where a retained food brand matters most.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the customer retention work runs

  1. 1

    Assess current retention

A first read of current retention rate, existing tactics and where they are or are not coordinated.

  2. 2

    Build the strategy

A written plan developed covering priority segments, touchpoints and a measurable target.

  3. 3

    Align existing tactics

Current retention activities mapped against the strategy and adjusted to work together rather than independently.

  4. 4

    Track toward the target

Retention tracked against the goal, with the strategy adjusted as results come in.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

When do we say a trader has lapsed?
When a trader skips a season in which they normally store. A trader who stores in alternate years is not lapsed in the off year, so decide from each trader's own pattern and record the date you made the call.
Should we offer a discount to win a trader back?
Not first. Call, ask why the trader left, fix what you can and say what has changed. A discount offered first teaches every trader to leave and come back.
Who should make the calls?
The person the trader knows: the owner or the long-serving manager. For food brands, the person who answers quality questions. A new executive reading from a list makes a poor first call.
A trader says they moved because our rate was high. What now?
Write it down as the trader's reason without arguing. Ask what they paid and what it included, since stores differ on loading and handling. Use the answer to check whether your rate basis is clearly explained.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
