B2B wholesale marketplaces · Follow up systems

Chase the pending document and the unplaced second order before they go cold.

A follow-up system for a B2B wholesale marketplace is the set of reminders, messages and calls that move a seller from interest to a live listing and a buyer from install to repeat order. GullySales writes the steps, the owners and the messages, and your team runs them.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For B2B wholesale marketplaces

Where it usually goes wrong, and what we would do.

  • “Seller onboarding stalls on small pending items”

A wholesaler agrees on the call, then the GST certificate, the rate sheet or the product photographs never arrive. Without a named owner and a next date, a willing seller drifts away and the team chases by memory.

  • “The first order needs a nudge at the right moment”

A buyer who registered, browsed and left has not decided against you. A call or message tied to what they looked at, or to stock arriving in their pincode, restarts the conversation. A generic offer message does not.

  • “Reorders depend on a reminder that matches the last purchase”

A shop owner who bought detergent from a listed seller may run low without noticing. A message naming the item, the last rate and the seller, with a one-tap reply, saves a trip to the local wholesaler.

  • “Silence after a complaint costs repeat orders”

A late delivery or a short shipment left unanswered turns a buyer back to the old supplier. A follow-up that confirms the issue is recorded, and who is resolving it, protects the next order.

What we do

What we deliver for B2B wholesale marketplaces.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A seller onboarding checklist with reminders

Each step with an owner, a next-action date and a reminder message for documents, catalogue and rates.

Result: A seller's pending step and next contact date are visible on the record.

  2. A first-order activation script

A call and message script for registered buyers who have not ordered, with each reason for hesitation logged.

Result: Every call leaves a reason that can be counted.

  3. Reorder reminder templates

WhatsApp templates by product group that name the item, the last rate and the seller.

Result: The team sends a reminder from the buyer's own purchase history.

  4. A complaint and delivery follow-up routine

Steps for acknowledging a delivery problem, recording it and informing both buyer and seller.

Result: Each complaint has an owner and a recorded outcome.

  5. A dormant buyer and seller list

Accounts with no order or no stock update, grouped by how long ago the last action was, with a message for each group.

Result: The team can see who has gone quiet and reach them with a purpose.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Set a next step at each stage.

Seller document pending
Record which paper is missing and ask for it by the next working call, so onboarding does not stall on one item.
Buyer registered but no order
Flag the buyer and have the field agent ask what stopped the first order, with a relevant product offered.
Reorder due
Set the reminder from the last purchase of that buyer, with the same items listed in the message.
Complaint raised
Log the order, the issue and the owner, and tell the buyer the outcome before the next order is asked for.
Seller stock not updated
Alert the account manager, who asks the seller to refresh the listing before buyers see an empty item.

Who it is for

This is written for these B2B wholesale marketplaces.

  • General merchandise and FMCG marketplaces serving kirana and retail stores
  • Industrial supplies and MRO marketplaces for factory buyers
  • Textile and garment marketplaces linking mills, wholesalers and boutiques
  • Agri input and produce marketplaces for traders and processors
  • Building material and hardware marketplaces for contractors and dealers
  • Pharmacy and medical supply platforms for licensed retailers
  • Electronics and mobile accessory marketplaces for shop owners
  • Niche category platforms such as packaging, stationery or hospitality supplies

Not for

It is not the right fit if.

  • Your orders and complaints are not logged anywhere, so a reminder would have nothing to refer to.
  • You have not yet decided who owns a stalled seller or buyer, so reminders would reach nobody.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should follow-up be automated?
Reminders and message templates can be automated, but the call to a seller deciding to list should stay with a person. We mark which steps suit automation and which need a call, and we help you check each platform's current messaging rules.
How often should we contact a buyer?
It depends on how the buyer purchases, which your order history shows. A product bought regularly invites a reminder near the time of reorder. We do not set a fixed schedule for your whole base, and avoid messaging that feels like spam.
What do we do about sellers who stop updating stock?
Ask why, first. The seller may be waiting for orders or may find the update process tiresome. A follow-up that offers a simpler way, such as a WhatsApp update, is better than a warning. Record the reason so the team sees the pattern.
What do we do about sellers who stop updating stock?
Ask what changed before you chase. A seller who stops updating may be out of stock, unhappy with settlement or busy, and each needs a different answer. Record the reason, and pause the listing if the stock is wrong so buyers do not order what is gone.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
