Inventory management service providers · WhatsApp marketing

Use WhatsApp for the plant contact and the CA, and keep proposals on email.

WhatsApp marketing for an inventory management provider is the careful use of the chat app where plant contacts, stores heads and CAs already talk to suppliers. GullySales writes the opening messages, the reply scripts and the rules for what stays on chat and what moves to email.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For inventory management service providers

Where it usually goes wrong, and what we would do.

  • “Plant and stores contacts answer chat faster than email”

The person coordinating site access replies on WhatsApp, while the finance head signs by email. Using each channel for its purpose keeps the count planning on chat and the commercial terms in writing.

  • “A group with the client's stores team can go wrong”

A group that includes the stores head and the counters can carry disputes about numbers in front of everyone. Keep group use for logistics, and move any disagreement about figures to a call or a written note.

  • “Sending unrequested broadcasts harms a CA relationship”

A CA who receives promotional blasts will mute you. Messages to auditors should be personal and rare, such as a note that your coverage has grown. Check the platform's current rules on business messaging before any bulk use.

What we do

What we deliver for inventory management service providers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business profile set-up

A WhatsApp Business profile with a clear description, catalogue of services and working hours.

Result: A profile a plant contact can read before replying.

  2. Opening and reply templates

Short messages for a first enquiry, a site visit confirmation and a count-day update.

Result: Your team has set wording for each stage.

  3. A channel rule sheet

A written rule on what goes on WhatsApp, what goes on email and what needs a call.

Result: Your team follows one rule on where each topic is discussed.

  4. A site-planning checklist message

A message to send the plant contact before a count listing access, cut-off and contacts.

Result: The plant contact receives the checklist the day it is needed.

  5. Opt-in and records

A simple way to record that a contact agreed to receive messages from you.

Result: Each contact shows the date and way they agreed to messages.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Use chat for site planning and keep proposals on email.

Count date confirmation
A message to the plant contact with the date, the team size and the access needed, saved to the account.
Site-planning checklist
A short list the stores contact can act on, such as clearing aisles and keeping goods-in paused during the count.
Arrival message on the day
A note that the team has reached the gate, with the lead's name, so the site contact knows who to meet.
Opt-in update for a CA
A short note to a CA who agreed to hear about methods, never a broadcast to a contact list.
Report-ready message
A message that the report is available to the finance head, with the formal copy sent on email.

Who it is for

This is written for these inventory management service providers.

  • Manufacturers with raw material, work in progress and finished goods stores
  • Distributors and wholesalers with several godowns
  • Retail chains and franchise outlets with store stock
  • Pharma and healthcare distributors with batch and expiry tracking
  • Brands with consignment stock at dealers and retailers
  • E-commerce sellers and fulfilment centres
  • Hospitals and educational institutions with consumables and assets
  • Government and public sector stores

Not for

It is not the right fit if.

  • Your clients' policies forbid business chat with outside firms
  • You plan to message prospects collected from a directory without asking
  • Counters use personal phones and nothing from the chats would reach the account record

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we send bulk messages to prospects?
Only to people who have agreed to hear from you, and within the platform's current rules. For cold finance heads, a personal email or call is the safer first step.
Should counters use their own phones?
Better not. Use a business number held by the company, so conversations stay with the firm when a counter leaves. Rules about client data on personal phones should be written down.
Should counters be given a business phone for chat?
Prefer a company number or business app on a shared phone for client contact, with chats noted on the account. A counter's personal phone holds dates and contacts that leave when they do. Give counters access only to the chats they need.
Which messages are better kept off chat?
Keep proposals, findings and stock figures on email or in the report, where a record is formal and shareable. Chat suits timings and logistics. A finance head wants figures in a document they can file for the auditor.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.

Your next practical step

Tell us what you are trying to grow, and we will read it before we call.

Eight short steps, mostly taps. Skip anything you would rather answer on the call.
