Medical equipment distributors · Lead generation

Find the doctors and clinics planning a purchase before they ask for quotes.

Lead generation for a medical equipment distributor means reaching the doctor, the administrator and the biomedical engineer while a machine is still being chosen. GullySales works on the machine pages, the new-clinic package enquiry and the record that keeps each lead from being lost between you and the principal company.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

Surgical and medical supplies distributors: show a real physical business scene illustrating Lot and expiry on every line. Record lot, expiry and pack size on the purchase, delivery note and invoice, and pick the shortest-dated lot first unless a buyer asks for a particular one.

What lead generation means

Lead generation is the combined work of every channel that brings in a new enquiry, whether from search, adverts, referrals or a stall at an exhibition. GullySales runs these channels together and reports the number of enquiries each one produced, not the activity behind it.

For medical equipment distributors

Where it usually goes wrong, and what we would do.

  • “The enquiry starts as a question about a machine, not a request for a price”

A doctor opening a diagnostic centre asks which ultrasound suits a room, which probes are needed and what power supply the machine wants. A distributor who answers those questions on a page is on the shortlist before any quotation is requested.

  • “Leads from the principal company's website reach you late”

An enquiry typed into the brand's site goes to the regional office and then to the distributor. By that time the doctor has spoken to other dealers. Agree who forwards what, and log the date each enquiry reached your desk.

  • “Service visits are enquiries in disguise”

The biomedical engineer servicing a hospital's patient monitor hears that the ward is adding beds. With no place to write the remark down, it never reaches the sales head, and a competitor quotes for the new beds.

What we do

What we deliver for medical equipment distributors.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Machine-wise enquiry pages

One page per machine family, ending in a short form that asks for the room, the department and the stage of the purchase.

Result: Each enquiry arrives with the machine and the stage already stated.

  2. New-clinic package enquiry

A form for doctors equipping a clinic or diagnostic centre, asking which rooms need equipment and whether finance is wanted.

Result: A package enquiry names the rooms and the finance question.

  3. Enquiry source register

A record noting whether each enquiry came from search, a doctor's recommendation, a conference, the principal company or a service visit.

Result: You can see which source produced each open quotation.

  4. Principal-company handover note

A written understanding with the principal's field team on how enquiries are passed to you and acknowledged.

Result: Every handed-over enquiry carries a date and a named owner.

How the result is measured

  • Enquiries generated
  • Cost per enquiry
  • Enquiries by source

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

What to record when a doctor first asks about a machine.

Machine and model asked about
Taken from the call or form. It routes the enquiry to the right product person and shows which machine families draw interest.
New centre or replacement
A doctor opening a clinic needs a package and finance talk; a hospital replacing a unit needs the old machine and service history.
Who else decides
Asked gently: the administrator, the partner or the committee. It tells you whom the quotation pack must reach after the doctor.
How the enquiry reached you
Website, a call, a service visit or the principal company's handover. It settles which source brought the lead and who may follow it.
Planned purchase window in the buyer's words
Written as the buyer says it, such as after the budget meeting. It fixes when the next call falls without pressing for a date.

Who it is for

This is written for these medical equipment distributors.

  • Imaging equipment distributors for ultrasound, X-ray and CT
  • ICU, OT and anaesthesia equipment distributors
  • Patient monitoring and emergency equipment suppliers
  • Dental chair and clinic equipment dealers
  • Laboratory analyser and diagnostic instrument distributors
  • Physiotherapy and rehabilitation equipment suppliers
  • Refurbished and used medical equipment traders
  • Authorised distributors of a single international brand for a state

Not for

It is not the right fit if.

  • The principal company has not told you which territories and products you may sell, so an enquiry could be one you cannot quote.
  • No one has been named to arrange demonstrations, so a doctor who asks would wait with no reply.
  • You hope to advertise to hospitals directly, though many purchase through committees and tenders that an advert does not reach.

How it works

How the lead generation work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand your capacity

We ask how many enquiries your team can answer well, who answers after hours, and what a good enquiry looks like. Without this, the system fills a funnel nobody is watching.

  2. 2

    Audit current sources

We read your call log, WhatsApp chats, enquiry sheet and platform dashboards. The baseline is recorded: enquiries by source, reply time, conversion and cost per order.

  3. 3

    Strategise the channel mix

Search and maps are chosen for people ready to buy, ads for people who are not yet looking, and content and referrals for trust.

  4. 4

    Implement capture and follow-up

Pages, forms, tags, the lead record and the first-reply message are built and tested end to end. We submit test enquiries ourselves before any media money is spent.

  5. 5

    Measure and optimise

Enquiries are traced to source and judged by what became orders, not by volume alone. Channels that fill the sheet with poor enquiries are cut back. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 1, prospecting and lead generation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we advertise to hospitals directly?
Start with the doctors and clinics searching for the machine, since they are choosing now. Advertising rules for medical devices differ by device and profession, so check every claim with your regulatory adviser and the principal company before publishing.
How do we handle leads that the principal company also receives?
Agree the handover in writing. Record the date each lead reached you and who replied first. A dated record settles disputes calmly and shows the principal company where its own routing slows down.
What should we ask a doctor on the first call?
Ask which procedures the machine will serve and who else joins the decision. The answers shape the demonstration and the quotation pack. Leave price and budget to a later call, once the doctor has seen the machine.
Can we collect enquiries for machines we do not hold rights for?
Only with care. Check your distribution agreement and your own adviser first, because rights and territories differ by brand. Where you cannot supply, pass the doctor to the right party openly instead of holding the enquiry.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
