Medical equipment distributors · WhatsApp marketing

Use WhatsApp for brochures, quotations and service calls, with consent.

WhatsApp marketing for a medical equipment distributor is the use of WhatsApp to send brochures and quotations, answer technical questions and take breakdown calls from doctors and engineers. GullySales works on the business account, the message templates and the way each chat reaches your enquiry record.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

Surgical and medical supplies distributors: show a real physical business scene illustrating Lot and expiry on every line. Record lot, expiry and pack size on the purchase, delivery note and invoice, and pick the shortest-dated lot first unless a buyer asks for a particular one.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For medical equipment distributors

Where it usually goes wrong, and what we would do.

  • “Doctors already send machine questions on WhatsApp”

A doctor photographs a probe or asks for a brochure at night. If the message lands on a salesperson's personal phone, it is lost when that person is on leave. A business number with an assigned owner keeps the chat with the company.

  • “A service call arrives as a photo”

A technician sends a picture of an error screen. The service desk needs the hospital, the machine and the serial number at once. A reply that asks for those three things settles the call without a string of questions.

  • “Bulk messages to doctors damage the name”

Sending a brochure to a bought list brings complaints and can break the platform's rules. Message only people who asked, say what you will send, and check the platform's current rules on business messaging.

What we do

What we deliver for medical equipment distributors.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Business account set-up

A WhatsApp Business account with a catalogue of machine families, a greeting and the sales desk's working hours.

Result: A company number that assigned staff can answer.

  2. Quick replies for common requests

Saved replies for brochure requests, demonstration booking, service calls and quotation status.

Result: Staff answer the common requests in the same wording.

  3. Opt-in line

A sentence on your forms and visiting cards asking permission to message on WhatsApp.

Result: You hold a record of who agreed to receive messages.

  4. Chat-to-record routine

A routine for logging each chat enquiry in the CRM with its source marked.

Result: A chat enquiry appears in the register with a name and a stage.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Messages a distributor sends and receives on WhatsApp.

Machine brochure request
Send the principal's approved brochure only, with your authorisation line. Record the doctor's name and the model asked about.
Quotation PDF
Share after the call that explains it. Mention which pages carry warranty and service terms so the administrator reads them.
Service call photograph
A photo or short video of the fault with the machine's serial number. It lets the engineer prepare spares before the visit.
Demonstration confirmation
Date, place and who will attend, sent to the doctor and the administrator together.
Permission to send updates
Asked once and recorded with the date, so launches and service notes reach only those who agreed.

Who it is for

This is written for these medical equipment distributors.

  • Imaging equipment distributors for ultrasound, X-ray and CT
  • ICU, OT and anaesthesia equipment distributors
  • Patient monitoring and emergency equipment suppliers
  • Dental chair and clinic equipment dealers
  • Laboratory analyser and diagnostic instrument distributors
  • Physiotherapy and rehabilitation equipment suppliers

Not for

It is not the right fit if.

  • Doctors have not agreed to receive messages from you, and you plan to send broadcasts to a bought list.
  • Engineers use their personal phones for service photos, and customer threads would leave with them.
  • The principal company has barred sharing its material by chat, and you have not checked.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we send a quotation over WhatsApp?
Yes, and buyers expect it. Send the file, note the date in your record and confirm receipt by phone, so the administrator knows whom to ask about it.
Should engineers use their own phones?
Prefer the company account. If engineers use personal phones for service, record a summary of the chat in the register so the history stays with the company.
Should patient images ever reach our WhatsApp?
No. A service photo should show the machine, not a patient or a patient's report. The reason is that health information is private and your number is not a clinical channel. Ask the sender to crop or retake the photo.
Can we run a broadcast about a new machine?
Only to doctors who agreed to receive updates, and within the platform's current rules on business messaging. A broadcast to strangers can harm the number, and the principal may also restrict how its products are announced.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
