Coworking space rental · CRM

Keep every visitor, member and renewal date in one place the manager opens every morning.

A CRM for a coworking space is the record of each visitor, tour, membership and end date, so nobody depends on memory or a notebook. GullySales works on the fields, stages and reminders that suit a space of your size and then on getting the team to use them.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

Coworking spaces: show a real physical business scene illustrating Seat and cabin inventory. List every hot desk, dedicated desk and cabin by floor, marked occupied, reserved or free, and check occupied seats against seats paid for.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For coworking space rental

Where it usually goes wrong, and what we would do.

  • “The tour is where leads go missing”

A manager walks a visitor round, answers questions and then gets pulled into a member's problem. The visitor leaves with no note taken. Three days later nobody remembers the price quoted or the desk offered.

  • “Member end dates need a visible list”

A freelancer on a project may leave when the project ends. Without a list of expected end dates and likely reasons, the space learns of the exit when the invoice goes unpaid and the desk is already empty.

  • “Desks and cabins are inventory with a start date”

A cabin that frees up on a given date should be matched to a waiting team. A record that links enquiries to available inventory turns a vague promise into a specific offer.

  • “A spreadsheet works until two people edit it”

The shared sheet with colour codes breaks when the manager and the community lead both change it. Choose a tool that fits your size and that the team will open on a busy day.

What we do

What we deliver for coworking space rental.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A stage list from enquiry to member

Stages such as enquiry, tour booked, toured, offer sent, joined and lost, with a named owner for each.

Result: Every contact sits in one stage with one owner.

  2. Fields that matter for desks

Plan interest, team size, start date, budget, decision-maker and source, and nothing more than the manager will fill in.

Result: The record asks only for what the manager will actually fill in.

  3. An end-date and renewal view

A list of memberships by end date, with notes on likely changes, so a conversation happens before the notice arrives.

Result: You can list members whose terms end soon.

  4. A waiting list tied to inventory

A record of visitors waiting for a cabin or dedicated desk, linked to the date a space is expected to free up.

Result: A freed cabin goes first to a named waiting team.

  5. A tool choice that fits the team

A recommendation from a simple sheet to a CRM in ordinary use in India, based on the size of the team using it.

Result: You choose a tool the team will open every day.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do we need paid software?
Not at first. A well-built sheet or the free tier of a common CRM works for a small space. We move to paid software when the volume of contacts demands it.
Who should enter the data?
The person who meets the visitor, straight after the visit, by phone if necessary. Data entered at the end of the week from memory is thin and wrong.
Can the CRM send reminders?
Yes, for follow-ups, renewals and waiting-list matches. Reminders go to a named person, not to a shared inbox where they get ignored.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
