Environmental testing laboratories · Follow up systems

Chase the quotation and the renewal with a routine, not with someone's memory.

A follow-up system for an environmental testing laboratory is the routine that answers an enquiry, chases a quotation and reminds a plant that its next test is approaching. GullySales works on the sequence, the wording and the record of who was contacted and when.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

Environmental testing laboratories: show a real physical business scene illustrating Sampling requests and field schedules. Plan sampling rounds by client, site and matrix, assign field staff, and prepare the bottle sets and preservatives needed for each visit before the vehicle leaves.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For environmental testing laboratories

Where it usually goes wrong, and what we would do.

  • “Quotes go quiet”

A plant asks for three quotes and decides on the one that arrived with questions answered. A lab that sends a rate and waits loses to one that calls to ask what is missing.

  • “Silence after the report is a lost renewal”

Once the report is delivered the lab moves on. The plant files it and forgets the lab, until the next test falls due and the officer searches again.

  • “Follow-up needs a reason”

Calling to ask if a plant has decided annoys the buyer. Calling to confirm the sampling point or to share a preparation checklist gives the buyer something useful.

  • “Consultants deserve their own thread”

A consultant who sent a project last year should hear from the lab before the next one starts. A short check-in with a current scope sheet keeps the lab in mind.

What we do

What we deliver for environmental testing laboratories.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A quotation follow-up sequence

Planned touches after a quote is sent, each with a reason such as a clarification or a checklist.

Result: Every quote has a next step recorded.

  2. A post-report note

A message after report handover that offers to explain any figure and notes the next likely test.

Result: The client knows who to call with a query.

  3. A renewal reminder drafted for each cycle

A message tied to the client's due date, written for the officer and copied to the owner where useful.

Result: The lab contacts the plant before the plant searches.

  4. A consultant check-in

A short note to consultants with the current scope and any change in your accreditation wording.

Result: Consultants hold your up-to-date details.

  5. A missed-call and web-form reply

A prepared first reply for enquiries that arrive outside working hours.

Result: No enquiry waits for the next shift unanswered.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How often should we follow up on a quote?
Follow the buyer's own deadline. Ask on the first reply when they plan to decide, and plan the next contact around that date.
Is it pushy to remind a plant about renewal?
Not when the message is useful. A reminder that shares a preparation checklist and the lab's availability helps the officer plan, and they can say no.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
