Film equipment rental companies · Follow up systems

Answer the availability request, then check back before the crew rings someone else.

A follow-up system for a film equipment rental house is the routine that replies to each availability request, chases the quote and contacts the renter again after the shoot. GullySales works on who sends which message, when it is triggered and where it is recorded.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For film equipment rental companies

Where it usually goes wrong, and what we would do.

  • “Quotes go cold while the gear is still free”

A producer asks for dates, gets a rate and hears nothing more from either side. By the time anyone follows up, another house has been booked. A set reminder tied to the shoot date keeps the quote alive.

  • “The technician answers calls instead of prepping”

When every enquiry lands on the person checking gear, replies are late and prep suffers. A shared inbox with a named person for replies frees the technician and shows who owns each request.

  • “The return is the best moment to ask for the next job”

When the kit is checked in and the shoot went well, the renter is open to a conversation. A short message then, asking about the next project, is better received than a cold note months later.

  • “Lost enquiries teach nothing without a reason”

If a request does not become a booking, the reason is worth knowing: price, dates, gear or delivery. Recording one line of reason lets you fix the real gap.

What we do

What we deliver for film equipment rental companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A reply template for availability requests

A standard message that confirms items, dates, rate, delivery and terms in one place.

Result: Each request gets a complete answer on the first reply.

  2. A quote reminder tied to the shoot date

A prompt on the booking sheet to follow up on any open quote before the dates pass.

Result: No quote waits unanswered because someone forgot.

  3. A post-shoot message

A short note on return asking how the kit performed and whether another project is planned.

Result: The renter is asked about the next job while the last is fresh.

  4. A reason field for every lost enquiry

A single line recording why a request did not convert.

Result: You can see whether price, dates or gear is losing bookings.

  5. A named owner for each request

A rule for who replies and who covers when that person is on a shoot.

Result: Every enquiry has a person responsible.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How soon should we reply to a request?
As soon as someone with the booking sheet can answer with dates and a rate. GullySales does not set a number for you; your own sheet will show how reply time relates to bookings.
Will a reminder irritate the producer?
A short, useful reminder tied to the shoot date reads as service. Keep each message specific to the booking and stop when the renter has answered.
Can follow-ups be automatic?
Parts can, such as a reminder to the desk or a template message. The message to a producer should still be checked by a person before it is sent.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
