Franchise systems · Follow up systems

The candidate did not say no. They said not this year.

A follow-up system for a franchisor is the set of calls, messages and reminders that keep a candidate moving through a decision lasting months, and keep a quiet unit's enquiries from going unanswered. GullySales writes the sequence, assigns an owner to each step and records what was said.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For franchise systems

Where it usually goes wrong, and what we would do.

  • “A franchise decision is long, and silence is part of it”

A candidate may read your pack, go quiet over a festival or a family matter, then return after a conversation with a rival brand. A system that stops after three attempts treats every pause as a refusal and discards deals that were simply waiting.

  • “The gap after the discovery day is where deals cool”

A candidate leaves the day impressed and then faces a list of questions alone. If nobody calls with the documents and the validation introductions that were promised, the candidate fills the silence with the follow-up from other brands on the shortlist.

  • “No-shows need a different message from refusals”

A registered candidate who does not attend a discovery day has a reason that can be asked about. Sending the same sales message as to a decliner wastes the chance to rebook, and the chance to learn what put them off.

  • “Quiet franchisee units go unanswered at the worst moment”

A unit with thin staffing misses calls from customers, and head office sees only the poor monthly figure. Follow-up for local enquiries needs an owner and a fallback, or the quietest unit becomes the next validation problem.

What we do

What we deliver for franchise systems.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A candidate follow-up sequence built on your stages

Calls, emails and messages set against each stage, with the reason for each contact and a named person responsible.

Result: No candidate waits without somebody owning the next step.

  2. A discovery day routine before and after

Reminders to those registered, a rebooking approach for no-shows, and a call after the day with the documents and introductions the candidate asked for.

Result: The room fills with the right candidates and the day leads somewhere.

  3. Reactivation of the old enquiry list

A structured approach to candidates from past seasons who never refused, with a reason to talk again and a clear stop for anyone who asks to be left alone.

Result: Deals come out of a list you already hold.

  4. Task reminders for the development team

Each open candidate shows the next action and the date it is due, so a call is never lost between two people.

Result: The development director's day is a short list rather than a search.

  5. Local enquiry fallback for quiet units

A rule for who answers when a unit does not, and how the customer is passed back to the franchisee with the context.

Result: Customer enquiries stop disappearing at thin units.

  6. A record of every contact

Dates, channel, what was said and the outcome kept in the CRM, available to your counsel if a statement is ever questioned.

Result: You can show what was promised and when.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the follow up systems work runs

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • Hours that fit your day, agreed up front

Which hours we overlap with yours is settled before any work starts, so you know when a reply is coming and when it is not.

FAQ

Questions owners ask before they call.

How long should we keep following up a candidate?
Until they decline, ask to stop, or you decide they do not meet your criteria. Franchise decisions run long, so a fixed cut-off throws away real prospects. Set a lighter rhythm for a quiet candidate, and record the date of the last genuine reply.
Can we call or message candidates who enquired a long time ago?
Email where they opted in and can unsubscribe. Calls and messages carry stricter rules that differ by place, so check with your own adviser about what is allowed. We clean the list against your consent records before any contact goes out.
Who should do the follow-up, our team or yours?
Split it by stage. We can take first response, reminders and the quiet-candidate nudges, while your development director takes the selling conversations and anything touching the disclosure document. We write the split down so no candidate falls between two people.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
