Pollution control equipment suppliers · Follow up systems

Chase a quotation through the engineer, the buyer and the owner, one call each.

A follow-up system for a pollution control equipment supplier is the set of reminders, calls and documents that keeps each quotation moving through the plant's engineers, purchase team and owner. GullySales works on who calls whom, what is sent and how each step is written down.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For pollution control equipment suppliers

Where it usually goes wrong, and what we would do.

  • “Silence after the quote is not a no”

Plants take time over drawings, comparisons and budget approval. A supplier who stops calling after sending the quote leaves the order to whoever phones next.

  • “Each person needs a different follow-up”

The engineer wants a clarification of the design, purchase wants a clean comparison sheet and the owner wants a summary. One generic call to the plant head leaves two of them unanswered.

  • “Lost quotations hide the reason”

If a plant buys elsewhere and nobody asks why, you learn nothing about price, design or service. A polite closing call records the reason for the next quote.

  • “Service dates are follow-ups too”

Bag replacement, fan service and annual contract renewals are calls waiting to be made. A supplier who calls a few days before the date wins work that a competitor would otherwise take.

What we do

What we deliver for pollution control equipment suppliers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up plan per quotation

Who to call, what to send and what question to ask at each stage, set when the quotation is sent.

Result: Each quotation has a next step and an owner.

  2. Message and call scripts

Short scripts for the engineer, purchase and owner conversations.

Result: Calls cover the points each person cares about.

  3. Comparison sheet for purchase

A clear sheet of scope, exclusions and terms for the buyer to place beside other quotes.

Result: Purchase can approve without asking for clarifications.

  4. Loss-reason call

A closing call and a record of the answer.

Result: Reasons for lost quotes are collected.

  5. Service reminders

A list of installed equipment with replacement and service dates and a call set against each.

Result: Spares and contract calls are scheduled from the register.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How do we decide when to call?
The right gap depends on the plant and the stage, and your team knows it better than a rule. We set a next step on every quotation and show you the ones that have no step.
Will calls feel like pressure?
Not if each call carries something useful, such as a revised drawing or an answer to a question. We write the call around what the person needs, not around the sale.
Can WhatsApp be used for follow-up?
Yes, for sending drawings and confirming visits, with the contact's consent. Formal quotations still go by email so the plant has a record.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
