Preschool franchises · CRM

Keep every parent and every prospective owner in one record you can act on.

A CRM for a preschool franchise is a shared record of each parent enquiry and each centre-owner enquiry, with its stage and next step. GullySales sets one up around your admission calendar and your tour routine, using a tool your staff will actually open.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For preschool franchises

Where it usually goes wrong, and what we would do.

  • “Enquiries live in the head's phone”

The centre head takes a call during circle time and writes the number on a notebook margin. By the time a seat opens, nobody can say who asked, which age group or when. A shared record replaces memory.

  • “A child's age drives everything”

The class, the fee and the follow-up date all depend on the child's date of birth and the academic year. A record without the age cannot say when to call back. The CRM must hold it, not a free note.

  • “The brand cannot see what the centres see”

A franchisor tracking centre-owner leads has no view of parent enquiries at the centres. Without a common structure, the brand cannot tell which cities convert tours into admissions.

  • “Parent data is personal data”

Names of families and ages of children sit in the system. Access should be limited to those who need it, and consent for messages recorded. Check data rules with your own adviser before choosing where records are kept.

What we do

What we deliver for preschool franchises.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Stages for parent enquiries

A set of stages from first message to tour booked, tour done, form given and admitted, with a lost reason.

Result: Each enquiry sits in one stage that everyone understands.

  2. Stages for centre-owner enquiries

A separate set from first call to site visit, agreement and opening.

Result: The brand sees where owner leads stall.

  3. Fields that matter

Child's age, preferred timing, locality, source, who attended the tour and the next call date.

Result: The record answers the questions staff ask on the phone.

  4. Access rules for each role

Who at the centre, the city and the brand sees which records.

Result: A centre sees its own families and nothing else.

  5. A simple training note for centre staff

A one-page guide on entering an enquiry in under a minute, written for teachers and not for sales staff.

Result: A teacher can log an enquiry between classes.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Which CRM do you recommend?
One your centres will use. A spreadsheet works for a single centre; a shared tool suits a brand with a network of centres. We choose with you after seeing how enquiries arrive.
Does the CRM replace the centre head's judgement?
No. It remembers who asked and when to call. The conversation, the tour and the decision remain with the people at the centre.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
