Security services companies · Email marketing

Put the renewal case in the inbox well before the contract date.

Email marketing for a security agency is where this trade's real work sits, because proposals, tenders and renewal notices all travel by inbox. GullySales builds the renewal sequence, the report a client can file, and the outreach to facility management firms and builders.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

Realistic editorial illustration of security services companies at work in India

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For security services companies

Where it usually goes wrong, and what we would do.

  • “A renewal is lost in the months nobody used”

The client starts asking around quietly, and the first you hear is a notice. A dated sequence is the cheapest protection you can buy.

  • “The report is what keeps a contract”

When a manager is asked why he is paying you, he opens a folder. If there is nothing in it, the answer is a rate comparison.

  • “Facility management firms subcontract and answer email”

They run buildings for other people and place the guarding themselves. That relationship is built in an inbox, not on a phone.

What we do

What we deliver for security services companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A renewal sequence that starts well ahead of the date

A first note with the year's supervision record, a review meeting request, and a written proposal before the client's notice period opens.

Result: The renewal conversation is yours to lead.

  2. A report sent to every client

Supervisor visits, attendance, incidents, replacements and training done, in one page the manager can file without editing.

Result: Your client can defend the spend without ringing you.

  3. An outreach sequence for facility firms and builders

A named list of facility management companies and developers handing over projects, with a short introduction and a follow-up schedule.

Result: Your name reaches the people who place guarding contracts.

  4. A covering note that survives forwarding

The email that carries a proposal, written so the head of administration reading it cold understands the offer without you on the call.

Result: Approval moves ahead without you explaining it again.

  5. Consent and address records kept in order

Where each contact came from, what they agreed to receive and a working way to stop, maintained so your mail keeps arriving.

Result: Your messages reach inboxes rather than spam folders.

  6. Renewals kept and lost reported

Contracts up for renewal, conversations opened and outcomes, read beside the baseline agreed before work started.

Result: You see a renewal problem while there is time.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a security agency needs in place before it emails facility managers, builders and clients.

A licence and registration block ready to attach
Keep your PSARA licence, company registration, GST, PF and ESI details as one current file. Facility managers ask for these first, and an expired document costs the bid.
A contact list from sites and tenders
Add facility managers, society secretaries and procurement staff you have met, quoted to or been introduced to. Note the site, the contract end date and the decision maker. Avoid collected lists with no source.
Renewal dates in the record
Every contract needs a start date, an end date and the person who signs the renewal. A renewal note is only useful if it lands before the client starts comparing.
A report format a client can file
Decide what the site report contains: attendance, incidents, rounds completed and training. Use the same layout each time so it can be saved and shown to an auditor.
A sender identity that looks official
Send from a named operations head on the company domain, with the licence number in the signature. A free mailbox weakens a security company's credibility.
Opt-out and address records
Keep the date and source for each address, and honour removal requests. India's data protection law applies to the guard rosters and client contacts you hold.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the email marketing work runs

  1. 1

    Understand your list

We review who is on the list, how they got there, and how long it has been since they last heard from you.

  2. 2

    Audit past sends

We check open and click rates from past emails to see what has and has not worked.

  3. 3

    Segment and plan

The list is split into meaningful groups and a sending calendar is agreed.

  4. 4

    Implement content and automation

Emails are written, scheduled and, where useful, set to trigger automatically based on behaviour.

  5. 5

    Measure and optimise

We track performance and adjust subject lines, timing and content based on what the list responds to.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we email a list of facility managers we collected?
Not a scraped or bought one. It gets your domain blocked and you lose the proposals you actually need to send. Build the list from tenders you bid on, sites you have visited and people you have met, and write to them individually.
What should the renewal email actually say?
What you did for the year, in numbers, and what you propose for the next one. Visits made, replacements handled, incidents and training. Ask for a review meeting rather than a decision, because the meeting is where a renewal is actually won.
Can we attach our guards' details to a proposal email?
Share only what the client needs, such as roles, training and verification status, and keep personal details like addresses and ID numbers out of email. Guards' data is personal data. Send names and photographs only when the client has a real need and a secure route.
Should the proposal be in the email or attached?
Put the key points in the email body: site, shifts, headcount and the licence line. Attach the full proposal as a PDF the committee can forward. A body with nothing in it gets skipped, and a huge attachment may be blocked.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
