Wedding photographers · Follow up systems

Chase the quote you sent, kindly, before another photographer holds the date.

A follow-up system for a wedding photographer is the set of reminders and messages that carry an enquiry from the first reply to a held date. GullySales works on who is contacted, when you decide to contact them, and what the message says.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For wedding photographers

Where it usually goes wrong, and what we would do.

  • “The family is comparing, not ignoring you”

A quiet week after a quote means the family is seeing other photographers. A short, warm message with one new thing, such as a gallery from their venue, keeps you in the conversation.

  • “A hard chase offends a family that values courtesy”

Elders judge manners. A repeated message pressing for an advance can cost the booking. The follow-up has to sound like a person who respects their time.

  • “The date-hold deadline needs saying before it arrives”

If the family is told only when the hold has ended, it feels like a threat. Stating the hold and the free dates in the first reply lets the later message be a reminder.

  • “After the wedding the follow-up stops, and the best moment passes”

The album delivery is when the family is happiest. A review request and a request for introductions made then are received well. Made months later, they feel odd.

What we do

What we deliver for wedding photographers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up ladder for quotes

A short series of messages for a quote sent, written in your voice, each with a reason to reply and an easy way to say no.

Result: You know what to send on the day a quote is due for a reply.

  2. A date-hold message

Wording that states the hold, the advance and the end of the hold, with a polite release when it lapses.

Result: A held date is either confirmed or released.

  3. A reminder list from your CRM

A view of the families due for a message, drawn from the stage and the date in your record.

Result: You open one list and see who to contact.

  4. Messages for the wedding itself

A pre-wedding message to confirm the schedule and a thank-you after delivery, with the review and introduction requests attached.

Result: Every delivered wedding gets a closing message.

  5. Reading what worked

Replies counted against the messages that earned them, so the ladder improves.

Result: You see which message brought the answer.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many follow-ups are too many?
Stop when the family says no or when the hold lapses. Do not send a message that repeats the last. One with something new, such as a free date or a relevant gallery, is welcome.
Should follow-ups be phone calls?
For a high-value quote, a call from the photographer is warm. Use messages for reminders and calls for decisions, and keep to the hours the family has asked for.
Can we automate the messages?
Some can be scheduled. Keep the wording personal and check the platform's current rules on business messaging. Never send an automated message to someone who has asked you to stop.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
