Cold-chain fish distributors · WhatsApp marketing

Turn the morning price list into a message kitchens answer.

WhatsApp marketing for a fish distributor means using the app your buyers already order on for price lists, order confirmations and follow-up, with a record of who replied. GullySales works on the message format, the buyer groups, reply handling and checks on consent and platform rules.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For cold-chain fish distributors

Where it usually goes wrong, and what we would do.

  • “One long group hides who is reading”

A price list posted to a big group is read by some, ignored by others and tells you nothing. Splitting buyers by type and route lets each message carry the right fish and drop time, and shows who answered.

  • “The ask matters more than the list”

A list of rates with no question at the end invites a thumbs-up and no order. End with one clear ask: reply with the quantity by a stated time. The order then arrives in the same thread as the price.

  • “A voice note is an order”

Chefs and shop owners record orders as voice notes at odd hours. Someone has to listen, write it into the account record and confirm back in text. Skip that step and a misheard fish or size becomes the next complaint.

  • “Consent and platform rules apply”

Add a buyer to a broadcast list only with their agreement, and let them leave when they ask. The platform sets its own rules for business messaging and they change, so check the platform's current rules before sending to a long list.

What we do

What we deliver for cold-chain fish distributors.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Price message format

A short format: date, fish, size, rate, drop time and one ask.

Result: A template your team sends in the same form each time.

  2. Buyer groups

Lists split by buyer type and route, with each buyer's agreement noted.

Result: A sheet of groups with consent noted.

  3. Reply sheet

A record of who answered, who ordered and who did not.

Result: A sheet showing replies set against the list sent.

  4. Order confirmation message

A text repeating the order, slot and rate after every voice note or call.

Result: A confirmation sent for every order taken.

  5. WhatsApp Business set-up

Business profile, a catalogue of fish lines, quick replies and an away message.

Result: A business profile with lines and quick replies in place.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

The messages a fish distributor should send, and record, on one business number.

Morning rate card with an ask
Send the day's rates and end with one request, such as reply with your quantity by a stated hour. It turns a read message into an order.
Order confirmation
Reply to every order with the fish, quantity, delivery window and rate. It turns a spoken order into a record and prevents disputes at the door.
Delivery on the way
A short message with the van and the expected hour, sent when the van leaves the cold room. Kitchens prepare for the arrival.
Photo of a short weight or damaged crate
Ask the buyer to send a photograph on the spot. It gives you a record of the problem and a basis for the credit.
Opt-in confirmation
Save the buyer's agreement to receive rate cards, with the date. It protects the number from complaints.

Who it is for

This is written for these cold-chain fish distributors.

  • Distributors serving retail fish shops and wet markets
  • Suppliers to hotels, restaurants and caterers
  • Supermarket and modern retail suppliers
  • Distributors of frozen and processed fish and shrimp
  • Online fish delivery start-ups that need a cold-chain supplier
  • Wholesalers who buy at landing centres and sell onward the same day
  • Suppliers to hospital, canteen and institutional kitchens
  • Cold van operators who carry fish between districts for others

Not for

It is not the right fit if.

  • The number is also the owner's personal phone, and rate cards would mix with family messages and be missed
  • You send to every contact in the phone and cannot show who asked for the rate card, which risks complaints against the number

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do we need the WhatsApp Business API?
Not to start. The WhatsApp Business app handles lists, quick replies and a catalogue. Move to the API only when your volume justifies it, and check the platform's current rules and charges first.
Can we send the price list to everyone in our contacts?
Send it to buyers who have agreed to receive it. Messages to people who did not ask can be reported as spam and put your number at risk. Keep a note of each agreement in the record.
Can we put every buyer in one group for the rate card?
Avoid it. In one group, buyers see each other and you cannot tell who read it. Use separate lists by buyer type, such as hotels, shops and caterers, and check the platform's current rules on lists and broadcasts.
Do orders given by voice note count as confirmed?
Not until you reply in text with the fish, quantity, window and rate. A voice note can be misheard at the dock. The written reply becomes the record, and the buyer can correct it before the van is loaded.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
