Podcast production studios · WhatsApp marketing

Turn the WhatsApp message asking for rates into a conversation about a full show.

WhatsApp marketing for a podcast studio means using the app where hosts and marketing heads already message to answer enquiries, send samples and confirm recordings. GullySales works on the profile, the saved replies and the permission rules for any broadcast.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For podcast production studios

Where it usually goes wrong, and what we would do.

  • “The rate question arrives on WhatsApp”

A host or marketing head taps the number from a search result or a post and types a short question about price. The first reply sets the tone. A price alone starts a comparison, while a sample link and a question about the show starts a conversation.

  • “Samples travel better as links than as files”

Sending a large audio file on a chat fills the buyer's storage and may arrive damaged. A link to a full episode on the sample page plays without a download and shows the studio's website as well.

  • “Hosts and studios coordinate by message”

Recording days, guest arrivals, edit approvals and artwork all move through chats. A tidy set of confirmation and reminder messages reduces misunderstandings on the day and shows the studio is organised.

  • “A broadcast needs permission”

Sending offers to a list of past enquirers without their agreement annoys them and may breach the platform's rules. Ask people to opt in, keep the list to those who did, and check the platform's current rules on business messaging.

What we do

What we deliver for podcast production studios.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A WhatsApp Business profile

Name, description, address, hours and catalogue set up in the WhatsApp Business app, with the sample page linked.

Result: A buyer sees a complete business profile when they message.

  2. Saved replies for the common questions

Short replies for rates, room details, full production, video and booking, each ending with a question.

Result: The first answer is consistent whoever sends it.

  3. A sample-sharing message

A message that sends one episode link with a sentence about what the studio did on it, with the host's permission.

Result: The buyer gets a sample, not a file.

  4. Booking confirmation and reminder messages

Messages that confirm a recording slot, state what to bring and give directions.

Result: Hosts arrive prepared and know where to go.

  5. An opt-in note and list rules

A line asking people if they want updates, and a simple record of who agreed.

Result: Only people who agreed receive offers.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Capture the details of a host's first WhatsApp message and send a sample in reply.

Where they found the studio
Ask in the first reply and note the answer. It shows whether a map listing, a post or a friend sent them.
The show's idea in one line
Ask the host to type it. It tells you if they have a topic yet, and whether they need a season plan.
One sample link, not a file
Send a link to a single episode close to their show, with a line about what the studio did on it.
Booking confirmation with directions
Send the date, the arrival time, the floor and the parking note, with a map pin. It stops the day starting with a late guest.
Opt-in for later offers
Ask once whether the host wants news of new slots, and record the answer. Send nothing to those who did not agree.

Who it is for

This is written for these podcast production studios.

  • Hourly-rent podcast studios for independent hosts
  • Full-service production studios that edit and publish
  • Branded podcast studios for companies and startups
  • Video podcast studios with cameras and multi-guest set-ups
  • Studios inside co-working and media centres
  • Regional language podcast producers
  • Interview-show producers for authors, coaches and professionals
  • Mobile recording teams that set up at the client's office

Not for

It is not the right fit if.

  • Your studio number is a personal phone shared with family, so business messages would mix with private ones.
  • You cannot reply the same day, and a host who sees blue ticks with no answer will go to another studio.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we use one number for the whole studio?
A single business number works if one person is always responsible for replies. If several people answer, use the app's multi-device feature or a shared inbox and agree who answers what, so a buyer never gets two different answers.
Can we send host reminders from a personal number?
Use the business profile instead. It keeps studio messages apart from personal ones and gives the buyer a clear identity. Keep the messages short, include the date and address, and note that the chat is official.
Is it right to message a host about renewal on WhatsApp?
Yes, if the host has been messaging the studio there already. Keep it personal and brief, refer to something from their season, and ask a question. A mass message sent to everyone feels like an advertisement.
Can we send a recording to a host over WhatsApp?
Send a link, not the file. A link plays on any phone, while a large file can fail to download or fill storage. Use a private link where the host controls who sees it, since unreleased episodes should not circulate before the host decides.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
