GST consultants · Follow up systems

Answer the notice enquiry first and follow up on every quote that goes quiet.

A follow-up system for a GST consultant is the set of rules for who replies, with what, and when to ask again. GullySales writes the first-reply script, the proposal chase and the post-engagement check-in so an enquiry does not fade.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For GST consultants

Where it usually goes wrong, and what we would do.

  • “The first firm to reply often gets the file”

A person holding a notice rings several consultants. The one who answers with a clear next step, such as a request for the notice copy, is the one who is heard. Delay hands the file to a rival.

  • “A quote sent and forgotten is a lost engagement”

A fee proposal goes out and the prospect goes silent. Without a rule for a polite nudge, the partner assumes a no and the prospect assumes you were not keen.

  • “Clients under retainer stay silent until a problem”

A client who hears nothing between filings forgets what you do. A short note after each check, showing what was found, keeps the value visible.

  • “Follow-up on a referral closes the loop”

When a CA sends a client, a brief update to the CA, with the client's agreement, shows the introduction mattered. Silence teaches the referrer to look elsewhere.

What we do

What we deliver for GST consultants.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A first-reply script

A set reply for notice, refund and audit enquiries that asks for the documents needed and names the person responsible.

Result: Every enquiry gets a reply that moves it forward.

  2. A proposal chase routine

A polite sequence of messages after a quote, with a rule on when to stop.

Result: You hold a written routine and a log of chases.

  3. Post-check notes

A short template to send a retainer client after each reconciliation or filing check, saying what was reviewed.

Result: Each retainer client receives written proof of the work.

  4. Referrer updates

A message that tells a CA or banker the outcome of an introduction, with the client's consent.

Result: Referrers hear back on each introduction.

  5. A stalled-enquiry list

A view of enquiries with no contact since the last step, owned by a named person.

Result: You can see which enquiries are waiting.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How persistent should we be?
Polite and clear. A couple of relevant nudges are fair; repeated pressure harms a professional name. We write messages that offer help and make it easy for the prospect to say no.
Can follow-up be automated?
Reminders can. The message itself should still read like it came from a person who knows the matter. We automate the prompt, not the relationship.
What if a prospect said no?
Record the reason and the date, and respect the decision. A note of thanks keeps the door open, and the reason tells you what to change.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
