HR consulting and outsourcing firms · Email marketing

Send the one email a founder opens, which is what falls due this month.

Email marketing for an HR consultancy is a short monthly note on what is coming up, sent to clients and to the accountants who refer you. GullySales writes it, keeps a separate sequence for proposals that went quiet, and makes your scope note read properly when somebody forwards it.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For HR consulting and outsourcing firms

Where it usually goes wrong, and what we would do.

  • “One email has a reason to exist”

A list of what falls due in the next four weeks gets opened, because missing an item on it costs the reader money. Everything else you might send is competing with work.

  • “Your best list is the quotes that never closed”

Founders who asked for a scope last year and stayed with their existing arrangement come back when headcount jumps or an inspector calls. Nobody rings them.

  • “The email gets forwarded before it gets answered”

A scope note goes to a co-founder and to the company's accountant before anyone replies to you. Write it so it still makes sense to the third person who opens it.

What we do

What we deliver for HR consulting and outsourcing firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. The due-dates email

A short, plain list of what is coming up, with a line on what your clients need to send you and by when.

Result: Clients act before a date passes, and referrers stay reminded of you.

  2. A reactivation sequence for cold proposals

A small set of messages to founders who asked for a scope and never came back, built around what changes when a company grows.

Result: Old quotes start producing conversations again.

  3. A scope note format that survives forwarding

Inclusions, exclusions, timeline and fee basis laid out so a co-founder reading it cold understands the offer without you on the call.

Result: The decision gets made in a meeting you are not in.

  4. A separate note for referring accountants

A short message written for chartered accountants and company secretaries, on what you are seeing among their kind of client.

Result: The referral network hears from you without being asked for anything.

  5. Consent and list hygiene kept in order

Where every address came from, an unsubscribe that works and a routine for removing dead addresses before they hurt delivery.

Result: Your mail keeps reaching inboxes rather than spam folders.

  6. Opens traced through to enquiries

Which message a caller had read, recorded at intake and reported next to the enquiry baseline.

Result: You can see whether the list is doing anything.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What an HR consultancy needs in place before it emails clients and referrers.

A client list and a referrer list
Keep the owners and finance heads you serve apart from the accountants, lawyers and CAs who refer you. Each reads a different note and each needs a different reason to open it.
Consent recorded for each contact
Note when and where each person agreed to hear from you: a signed engagement, a seminar form or a reply. India's data protection law expects you to use data for what was agreed, so keep that note.
A note on compliance that is checked
If you write about labour law, payroll or statutory dates, keep a source for each and a date checked. A wrong deadline sent to many clients will cost you more than silence.
A scope note that can be forwarded
Prepare a one-page summary of what you cover, what you do not, who at the client does what and how you charge. The owner will pass it to a partner or accountant.
Candidate data kept out of marketing
Names and CVs collected for a placement are not a marketing list. Keep them in a separate system, and do not use them for firm promotion without fresh consent.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the email marketing work runs

  1. 1

    Understand your list

We review who is on the list, how they got there, and how long it has been since they last heard from you.

  2. 2

    Audit past sends

We check open and click rates from past emails to see what has and has not worked.

  3. 3

    Segment and plan

The list is split into meaningful groups and a sending calendar is agreed.

  4. 4

    Implement content and automation

Emails are written, scheduled and, where useful, set to trigger automatically based on behaviour.

  5. 5

    Measure and optimise

We track performance and adjust subject lines, timing and content based on what the list responds to.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Does anybody read email in India any more?
A business owner at a desk does, and this is where scope and fees end up in writing. For a reminder that has to be read in a minute, WhatsApp does it better. We use both, for what each is good at.
Can we buy a list of local founders?
No. Bought lists get your domain blocked, and the rules on unsolicited commercial mail keep tightening. Build the list from enquiries, proposals, events and the accountants who already know you.
Can we write to the HR heads of companies we found on LinkedIn?
Once, as a business to a business contact, with an honest sender, a relevant reason and a clear opt-out. Follow with a call. Do not send repeated mails or scraped bulk lists, and remove those who ask.
What should a mail to a proposal that went quiet say?
Restate the problem they described, mention the one thing from the proposal that fits it best and ask whether the timing has changed. Offer to leave it with them. One calm mail does more than a chain of reminders.
How soon would we see more enquiries?
Fixing reply time and problem-led content helps quickly, since a founder is already searching for that exact gap. Ranking for a search such as payroll outsourcing in your city takes several months.
Do we need to advertise?
Clearer content and a faster reply cost nothing in media and answer the search a founder is already making. Advertising helps for a specific service push, such as payroll compliance ahead of a filing season.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
