Psychotherapy practices · Follow up systems

One gentle message, and then the person is left alone.

Follow-up in a psychotherapy practice is mostly about restraint: what is sent to an enquiry that went quiet, how a reminder is worded when somebody else may read it, and who contacts a client who missed a session. GullySales writes the routine, and writes down the point at which it stops.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For psychotherapy practices

Where it usually goes wrong, and what we would do.

  • “Assume somebody else may open the message”

A person may be writing from a shared phone or a family number. Nothing you send should name a concern, use the word therapy or make it obvious what it is about if a spouse or a parent reads it first.

  • “The stop rule is the whole system here”

One follow-up to an enquiry that went quiet is reasonable. A second is pressure on somebody who was frightened to write in the first place. Put the limit in writing so nobody at the desk decides it themselves on a slow week.

  • “A missed session is the therapist's call, not the receptionist's”

Somebody who does not arrive for a fourth session may be avoiding the work itself. Who contacts them, and in what words, is a clinical decision. Agree it in advance rather than leaving it to whoever is at the desk.

What we do

What we deliver for psychotherapy practices.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A neutral first follow-up, written once and used unchanged

A short message that names nothing, says the practice is here if they would still like to talk, and leaves the decision entirely with them.

Result: Whoever is on the desk sends something the practice can stand behind.

  2. The stop rule agreed and written up

How many times an unanswered enquiry is contacted, after which it is closed and the person is not written to again.

Result: Nobody is chased by a practice they were nervous to approach.

  3. Reminders worded for a phone that is not private

Appointment reminders that carry a time and a first name and nothing else, with the channel chosen by the client at the start.

Result: A reminder cannot disclose anything to whoever picks up the phone.

  4. An agreed protocol for a missed session

Who makes contact after a no-show, what is said, and which situations go to the therapist immediately rather than through reception.

Result: The clinical judgement stays with the clinician.

  5. Consent to be contacted captured at the first reply

Which channel a person wants, at which number, and what may be said on it, recorded before any reminder is set up.

Result: Every message that goes out is one the person chose to receive.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. 01 · First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. 04 · After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. 06 · At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for psychotherapy practices

  1. 1

Audit the enquiry journey with care

We check how someone finds the practice for a specific concern today, how the first message is answered, and where privacy could be better protected.

  2. 2

    Build concern-led pages

A page for each concern, such as anxiety or couples counselling, written to be recognised by someone experiencing it, without exaggerated claims.

  3. 3

    Fix the first response

A calm, prompt reply routine for enquiries, trained to acknowledge the message respectfully before any administrative questions.

  4. 4

    Build visibility without compromising privacy

Search and content built around concerns and locality, with no client-identifying material used anywhere.

  5. 5

    Report on enquiries, not people

A report of enquiry volume and response time by concern area, built so no client's identity ever appears in it.

Proof

What happened when owners fixed this.

Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we send appointment reminders at all?
Yes, with care. Missed sessions cost the practice and the client, and a reminder helps. Ask at the outset which number and which channel is safe, keep the wording bare, and let anybody switch it off without giving a reason.
Is it appropriate to follow up somebody who never replied?
Once, gently, and then leave it. Some people write at two in the morning and decide against it by breakfast, and that decision deserves respect. A single message saying the door is open is kind. A second one is not.
How do you handle marketing without using client stories?
Through the therapist, not the client. A page that explains your training, your approach and what a first session feels like does the work a testimonial does elsewhere. No identifiable client story is ever used.
Will this involve tracking individual clients?
No. Our reporting works at the level of enquiry volume and concern area, never by name, and we agree what is tracked before starting.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
