Inverter, UPS and generator dealers · Follow up systems

The dealer who calls back after the quote is the one the customer remembers at order time.

A follow-up system for a power backup dealer is the agreed set of calls and messages after a quote, an installation and a service visit. GullySales writes the steps, the wording and the owner of each step so no quote goes quiet and no battery lapses unnoticed.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For inverter, UPS and generator dealers

Where it usually goes wrong, and what we would do.

  • “A quote sent is not a quote followed”

The customer got a price on WhatsApp, compared it with two others and went silent. Without a planned next call, the dealer waits and the customer buys from whoever asked about the load again. The follow-up should add something, such as a sizing note.

  • “Industrial quotes need a different rhythm”

A factory approves a generator through a consultant, accounts and the plant head, so a single call rarely settles it. Each follow-up should reach a named role with the document that role needs, rather than ask whether a decision has been made.

  • “After installation is where repeat sales begin”

A call to check the system runs the load as promised builds the relationship that later brings the battery order, the AMC and the referral. Dealers who skip it appear again in the customer's mind only when something fails.

  • “Warranty and AMC end dates pass silently”

A generator AMC lapses and nobody calls. The customer then books a different service firm for the breakdown. A reminder list ahead of each end date gives the dealer first claim on the renewal.

What we do

What we deliver for inverter, UPS and generator dealers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Post-quote follow-up steps

A written sequence of calls and messages after every quote, each adding a fact such as a sizing example, a brand note or a site visit offer.

Result: Every open quote has a next action and an owner.

  2. Installation check call

A short call after installation to confirm the load runs as planned and to ask for a review.

Result: Problems surface with the dealer, not on a public review.

  3. Battery and AMC reminder messages

Ready wording for customers approaching battery replacement or AMC renewal, sent by the person who knows the customer.

Result: Renewals are offered before the customer looks elsewhere.

  4. Industrial follow-up by role

A plan for each approver at a factory or association, with the document each needs, such as a datasheet, a norm statement or an AMC schedule.

Result: The quote moves through approvals instead of waiting.

  5. A daily follow-up sheet

One list per day showing who to call, why and what was said last time, kept in the CRM or a shared sheet.

Result: Nothing depends on someone remembering in the evening.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Log these after each quote and installation, and send something useful with each call.

The dealer who calls back after the quote is the one the customer remembers at order time. Each call should answer a question.

Quote sent with load and model
Record the appliance list and the model quoted. A follow-up that names the load reads as care and avoids a repeated question.
Customer's concern after the quote
Price, backup hours, battery type or brand. Note it and reply with a one-page comparison rather than a reminder.
Installation check call
After fitting, ask whether the load runs as expected and whether the display shows any warning. Log the answer against the unit.
Battery due date
From the installation record, list the units whose batteries are near replacement. Call before failure, with an offer and a visit slot.
Industrial buyer's decision maker
For a factory or clinic, note who signs and who advises. Send the quote to both, and ask the advisor what they need to compare.

Who it is for

This is written for these inverter, UPS and generator dealers.

  • Home inverter and battery dealers
  • Online UPS dealers for offices, clinics and IT setups
  • Diesel and gas generator dealers
  • Solar hybrid inverter and battery dealers
  • Battery replacement and service centres
  • Generator rental and AMC providers
  • Industrial power backup and stabiliser suppliers
  • Multi-brand power backup stores

Not for

It is not the right fit if.

  • Nobody can make calls during busy weeks, so a follow-up plan would be dropped when it is most needed.
  • You have no quote record, so you could not tell a lost customer from one who is still deciding.
  • Staff are paid only on the sale at the counter, and no one has time to call about a battery a year away.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many follow-ups is too many?
The number matters less than whether each one adds something useful. A repeated is-it-confirmed message annoys, while a note on the buyer's load or a site visit offer is welcome. We write the sequence so each touch has a reason.
Should follow-up be by call or WhatsApp?
Match the buyer. A homeowner replies to WhatsApp; a plant head may want a call and a document by email. The record notes the preferred channel for each customer so staff do not guess.
What if the customer already bought elsewhere?
Ask politely what decided it, and note the answer. It shows where your sizing or service story is weak. Keep the customer on the battery and AMC list, since the relationship can return when the first battery ages.
Should a customer who has already bought elsewhere still hear from us?
One courteous message, then stop. Ask if they want the installed unit checked or the battery sized, since a failed unit from another dealer is a service lead. Do not criticise the other dealer's sale; offer a fair service price and leave it there.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
