Plumbing and sanitaryware distributors · Follow up systems

Give every quotation, claim and quiet retailer a name and a date for the next call.

A follow-up system for a plumbing distributor decides who calls back after a quotation, a delivery, a complaint or a gap in ordering, and records that the call happened. GullySales works on the register, the call dates and the review sheet the owner reads.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For plumbing and sanitaryware distributors

Where it usually goes wrong, and what we would do.

  • “The quotation is priced and the callback is forgotten”

A builder's quantity list is priced on Friday and filed. The distributor who rings first after the price goes out is the one the contractor speaks to when quantities change. That call needs a named owner.

  • “A quiet retailer shows in the register before the ledger”

A shop that ordered every few days and then stopped is visible in the invoice dates long before a scheme target is missed. Someone must be handed the list of quiet shops and told to ring them.

  • “Delivery is a follow-up moment”

After a truck unloads, the retailer opens the cartons. Shortages, breakage and wrong sizes surface then. A call asking whether everything arrived catches a claim while the delivery is fresh and the driver can still be asked.

  • “Salesmen follow up on their own routes and nowhere else”

A call promised by a salesman who then goes on leave belongs to nobody. Call dates written in a shared sheet let a colleague pick up the same retailer without asking what was promised.

What we do

What we deliver for plumbing and sanitaryware distributors.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A callback date on every quotation

A named caller and a date written on each quotation when it is sent.

Result: No sent quotation sits without a caller and a date.

  2. A list of lapsed retailers

Shops whose ordering has stopped, taken from invoice dates and handed to the salesman on that route.

Result: The owner can see which quiet shops were called and what they said.

  3. A delivery confirmation call

A short script for the order desk to confirm receipt, check for breakage and note any shortage.

Result: Each claim is logged against the delivery it belongs to.

  4. A handover note for leave and exits

A one-page list of promised calls passed to a named colleague.

Result: Every promised call has a person attached while a salesman is away.

  5. A review sheet for the owner

One page per route showing open quotations, quiet retailers and claims waiting.

Result: The owner reads one sheet per route and sees who owes a call.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

What to record on a quotation, a claim or a quiet shop so the next call has a date.

Quotation date and the items quoted
Entered by the salesman when the quote is sent. The callback date sits beside it, so a priced quote never waits for someone to remember it.
Buyer's stated reason for waiting
Site not ready, comparing another distributor or payment pending. The reason decides whether the next call is about price, delivery or credit.
Last order date for each retailer
Filled from the billing record. A shop that has not ordered for longer than its own pattern shows up before the ledger does.
Delivery confirmation
Recorded after the vehicle returns: delivered in full, short or damaged. A call to the shop the same day catches a shortage before it becomes a complaint.
Handover note for leave or exit
One page per route listing shops, pending quotes and promises made. When a salesman is away, another person can ring with the history in hand.

Who it is for

This is written for these plumbing and sanitaryware distributors.

  • CPVC, UPVC and SWR pipe and fittings distributors
  • Sanitaryware and CP fittings distributors
  • Water tank and storage distributors
  • Multi-brand plumbing wholesalers supplying sub-dealers
  • Distributors with a bathroom showroom and a trade counter
  • Project suppliers to builders and contractors
  • Valve, pump and water heater stockists
  • District sub-distributors and stockists

Not for

It is not the right fit if.

  • Your salesmen will not log calls and the owner has not agreed what happens when they do not, so a record would be empty.
  • You send few quotations, so a sheet on the owner's desk is enough for now.
  • Your billing record is incomplete, and a follow-up list built on it would chase the wrong shops.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do we need software for this?
Not at the start. A shared sheet with a column for the next call date serves while the habit forms. When the sheet gets crowded, a CRM holds the same fields and sends reminders.
How long do we keep chasing a builder quotation?
Until the builder says the order has gone elsewhere, or the site reaches the stage when the item is bought. Write the answer down with its reason, so the next quotation to that builder is written with it in mind.
Salesmen resist logging calls. What works?
Keep the record to a date and one line. Salesmen write in it once the owner reads the review sheet and asks about the entries. A log nobody reads is dropped.
What if a retailer does not want regular calls from the salesman?
Ask the retailer how and when to reach them, and note the answer. Shop owners are busy at the counter in the morning, and a call at a time they chose is answered; a repeated call at a bad hour teaches them to ignore your number.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
