School management software providers · Follow up systems

After the demo, the trustee is waiting for a note nobody has sent.

A follow-up system for a school software firm is the agreed set of messages, calls and reminders that carry a school from first enquiry to signature. GullySales works on who follows up with whom, what each follow-up says, and how it is recorded.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For school management software providers

Where it usually goes wrong, and what we would do.

  • “The demo ends and the silence begins”

A school that watched a demo then goes into a management meeting, a staff discussion or a holiday. If the vendor says nothing in that gap, the next contact is a cold chase.

  • “Each desk needs its own follow-up”

The accountant wants a sample fee receipt and a reconciliation note. The principal wants a short plan for teacher training, and the trustee wants a cost summary. One generic thank-you email serves none of them.

  • “Schools follow the calendar, not the sales cycle”

Exams, holidays and admission peaks freeze decisions for weeks. A follow-up plan that ignores them nags a principal at the wrong time, while one that respects them picks the conversation up when the school is ready.

  • “Follow-up after signature matters equally”

The first month of use decides whether the school renews and refers. A contact plan with the accountant and principal after go-live catches problems before they reach the trustee as complaints.

What we do

What we deliver for school management software providers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up sequence after enquiry and demo

A written order of messages and calls with an owner for each, covering what is sent to the trustee, principal and accountant.

Result: Each school receives the next step without anyone relying on memory.

  2. Message templates per desk

Short reusable notes for the three decision makers, with places to add school details and a rule against copying all three on one email.

Result: Your team writes follow-ups in minutes without sounding generic.

  3. Reminders linked to the school calendar

Reminders that account for exam periods and holidays, set against the session a school is deciding for.

Result: No call is made in a week the school is closed.

  4. A go-live check-in routine

A set of calls to the accountant and the principal after a school starts, with questions to ask and a place to log answers.

Result: Early problems are written down before they become complaints.

  5. A lost-deal note

A short, polite message to a school that chose another vendor, asking what decided it and leaving the door open for next session.

Result: You collect reasons for losses from the schools themselves.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many follow-ups is too many?
There is no fixed number. Respect the school's calendar and stop when a clear no arrives. GullySales plans each message to add something new, such as a sample or an answer, and not only a reminder.
Should follow-up be automated?
Reminders and logging can be automated. The message itself should read as written by a person who knows the school. GullySales sets automation where it saves effort without hiding the sender.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
