Accounting software providers · WhatsApp marketing

Meet the shopkeeper where the question is already being asked.

WhatsApp marketing for an accounting software provider is the use of a business number to answer product questions, send trial help and keep partners informed. GullySales works on the number setup, the message flow and the rules that keep the channel permission-based.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For accounting software providers

Where it usually goes wrong, and what we would do.

  • “Shopkeepers ask on WhatsApp first”

A trader with a billing error sends a photo of the screen to whatever number is saved. A business number with a catalogue of help and a clear support route captures that moment instead of losing it to a rival's number.

  • “The CA group is a channel of its own”

Accountants share tips, tool opinions and warnings in groups. Being useful there, without spamming, is a slow route to recommendations. Joining only to advertise gets you removed.

  • “Templates must be worded with care”

Business messages sent outside the reply window need approved templates. Write them as a helpful note about the next step in the trial, not as a broadcast of offers, and check the platform's current rules.

  • “Voice notes and screenshots work better than long text”

A munim who is stuck wants to see the screen. A short recorded walk-through sent in reply solves the issue and makes the customer remember the support.

What we do

What we deliver for accounting software providers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business number with a clear profile

The profile, greeting and away message set up on the WhatsApp Business app or API.

Result: A number that introduces the product and support route.

  2. Quick replies for common questions

Saved answers for price, import, trial start and support hours.

Result: Your team answers the common questions the same way.

  3. Opt-in capture

A tick box on trial forms and a note at demo end asking permission to message.

Result: Each contact has a recorded permission.

  4. A partner broadcast list

A list for dealers and CAs with product updates, sent only to those who agreed.

Result: Partners hear about updates from you first.

  5. A hand-off rule to a call

A written rule on when a chat becomes a call or a screen share.

Result: Complex issues move off chat on time.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Messages a billing software team sends on WhatsApp.

Trial welcome with a sample bill image
One message with the trade's sample bill and the name of the person who will help. Record the trade against the number.
Voice note walking through the first invoice
A short recorded explanation in the shop's language. Munims play it at the counter while keying the first entry.
Return reminder with a link to the guide
A message sent before a filing date that links the relevant guide, with the review note from the accountant who checked it.
Update note for a new tax screen
A message to existing customers when a screen changes, with a screenshot and a line on who to ask if the totals look different.
Opt-in confirmation from a partner CA
A message that records the CA's consent to receive product updates, with the clients they manage kept out of the list.

Who it is for

This is written for these accounting software providers.

  • Desktop accounting software vendors competing with Tally and Busy
  • Cloud accounting and GST billing apps for small businesses
  • Billing software for pharmacies, grocery and retail counters
  • Accounting products for wholesalers, traders and distributors
  • Software for contractors, builders and project businesses
  • Products built for CAs managing many client books
  • Dealer and reseller networks selling a single accounting product
  • E-invoicing and GST filing tool vendors

Not for

It is not the right fit if.

  • You have no record of who agreed to hear from you, so a broadcast to downloaded-trial numbers would go to people who did not ask.
  • One person holds the business number on their own phone, so a customer's message goes unseen when they are away.
  • Your support questions need screen sharing and the number you plan to use cannot handle long conversations.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do we need the API or is the app enough?
The app is enough to begin with a small team. The API suits larger volumes and CRM links. Choose by how many chats your team handles, and pick a provider in ordinary use in India.
Can we message everyone who downloaded the trial?
Only those who agreed to hear from you. Check the platform's current rules and Indian guidance on consent with your own adviser.
Should support and sales share one number?
Separate numbers are clearer. A customer in trouble should not be pitched an upgrade. Use one number only if your team can route the chats well.
Can a CA's client list be messaged through the CA?
Only with each client's own consent. The CA holds the relationship, but the shop owner decides whether to hear from you. Ask the CA to share a sign-up link instead of passing numbers, and check the platform's current rules before sending any template.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
