Business automation and RPA companies · WhatsApp marketing

Use WhatsApp for the buyer who wants a reply from a person they know.

WhatsApp marketing for an automation firm means using the channel where Indian finance heads and owners already talk to their accountants and vendors, for first replies, call confirmation and client support. GullySales works on how enquiries arrive there, what the firm sends and how each chat is recorded against the deal.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

For business automation and RPA companies

Where it usually goes wrong, and what we would do.

  • “The owner prefers a message to a form”

A distributor's owner who saw a bot demo does not fill a contact page. They send a message to the number on the visiting card. If that reaches a personal phone with no record, the enquiry sits in one pocket and the deal cannot be tracked.

  • “A support chat during a portal break is the best proof”

When a bank changes its login page and a bot stops, the client wants a human reply the same day, not a ticket number. A support group that answers calmly shows the support contract working before the renewal conversation.

  • “A forwarded document is a hidden process”

Clients send invoices, statements and screenshots on WhatsApp. That habit shows you which chores exist outside any system. Noting what is forwarded, and by whom, gives you the next process to propose.

  • “Broadcast messages to cold lists backfire”

A pitch sent to a bought list gets blocked, and the platform may limit the number. Send to people who asked or who are clients, and check the platform's current rules on business messaging before you plan any send.

What we do

What we deliver for business automation and RPA companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business number and profile set up for the firm

A separate number with a clear name, description and greeting, so enquiries reach the firm and not a developer's phone.

Result: Every WhatsApp enquiry arrives in one place.

  2. A click-to-chat path from key pages

Buttons on process pages and the support page that open a chat with a short prefilled line naming the page.

Result: You know which page prompted the message.

  3. Reply templates for the first conversation

Wording to ask which process, which systems and who is affected, then to offer a call or a process walk.

Result: The first answer is useful and consistent.

  4. A client support group structure

How a client's support chat is set up, who answers, what is logged and when a message becomes a ticket.

Result: Support requests do not disappear into a long thread.

  5. A rule for recording chats against deals

Every conversation noted in the pipeline with the contact, the process and the next step.

Result: A deal that began on a chat can be traced afterwards.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Handle these WhatsApp moments from a business number the firm controls.

First message from an owner
Ask which process, which software and who does it today. Record the answers against a deal so the call starts informed.
Click-to-chat from a process page
Note the page that prompted the message. It shows which chore pages bring enquiries and which bring none.
Support message during a portal change
Reply with who is looking and the time you will write again. Log the stop and the fix for the incident record.
Consent for later messages
Record who agreed to hear about new offers and for what. Past enquirers who did not agree get a reply only to what they asked.
Screen recording for a pilot
Send a masked clip of the bot run, with the buyer's name removed, to the person who asked. Keep the original on the firm's drive.
Hand-off to a signed document
Say that scope, fees and support terms are confirmed in a signed agreement, with the chat only pointing to it.

Who it is for

This is written for these business automation and RPA companies.

  • UiPath, Automation Anywhere and Blue Prism implementation partners
  • Power Automate and Microsoft 365 consultancies
  • Workflow studios building on Zoho, n8n, Make and Zapier
  • Document processing and OCR specialists for invoices, KYC and claims
  • Finance back-office automation firms covering GST, TDS and bank reconciliation
  • Software houses adding an automation practice
  • Shared-service and BPO teams turning their own bots into a product
  • Freelancer-led teams becoming a registered company

Not for

It is not the right fit if.

  • Enquiries go to developers' personal phones with no shared account, so conversations would leave with the person.
  • You cannot staff support replies on chat, and promising it would show a weak support contract before the sale.
  • You plan to broadcast offers to past enquiries who never agreed to hear from you.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do we need the WhatsApp Business API?
Not at the start. The Business app suits a small team handling enquiries by hand. If several people must answer from one number, or messages must connect to your CRM, an API provider becomes worth a look. Check the current rules and costs first.
Can we message past enquiries about a new offer?
Only people who agreed to hear from you. Ask for consent at the point of enquiry and record it. Sending offers to people who never asked risks complaints and a blocked number, whatever the platform currently allows.
Should clients get support on WhatsApp?
It suits quick questions and alerts. Anything that changes a bot or touches credentials should move to a ticket or a secure channel. State on the support page what is handled in chat and what is not.
What belongs on chat and what does not?
Quick questions, schedules and incident notices belong on chat; scope, fees, credentials and client data do not. The reason is that chats are easy to forward and hard to control. Keep sensitive material in the signed agreement or the secure store.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
