IT services and networking companies · WhatsApp marketing

Use WhatsApp for the fault reports, quotes and renewals that clients answer.

WhatsApp marketing for an IT services and networking company is using the number clients already message about faults for quotes, updates and renewal notes. GullySales works on the business profile, the replies engineers and sales send, and the rules on who is messaged and why.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

For IT services and networking companies

Where it usually goes wrong, and what we would do.

  • “Clients already report faults on WhatsApp”

The admin head sends a photo of a blinking router light to whichever engineer's number they have saved. The message lands on a personal phone and vanishes when that engineer leaves. A business number with shared access keeps the thread with the firm.

  • “Quotes sent as attachments get buried”

A PDF quote scrolls away under other messages. A short summary above the file, naming what is included and asking one question, keeps the decision visible and gives the client something to forward to the director.

  • “Broadcasting to every client is a mistake”

A message about firewall licences sent to a school that has none teaches the client to ignore you. Lists grouped by what each client holds, with permission recorded, let a reminder reach only the people it concerns.

  • “Passwords never belong in a chat”

Clients paste passwords and remote-access codes into the thread because it is convenient. Set a rule that these go through a proper tool, and tell clients plainly. A support line that collects secrets becomes a risk to both sides.

What we do

What we deliver for IT services and networking companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business profile and catalogue

A WhatsApp Business profile with services, address, hours and a catalogue of AMC levels and service packages.

Result: A new contact sees what you do before they type.

  2. Reply templates for common moments

Saved replies for a new enquiry, a fault report, a quote, a site survey booking and a renewal note.

Result: Every enquiry gets a clear first answer.

  3. Client lists by product and permission

Groups based on what each client holds, with a record of who agreed to receive messages.

Result: A reminder reaches only the clients it concerns.

  4. Shared-inbox rules

Who answers, how a chat passes from an engineer to sales, and what happens outside working hours.

Result: No client thread depends on one personal phone.

  5. Renewal and licence reminder messages

Short notes for AMC, warranty and licence renewals that say what is due and offer a review call.

Result: Renewal reminders go out in your voice.

  6. A note on the platform's rules

A written summary telling the team to read the platform's current rules on business messaging and templates before any bulk sending.

Result: Nobody sends to a list without checking the rules first.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

The WhatsApp messages an IT client actually answers.

Fault report with a photo
Ask for the photo of the device, the room and the time it began. Log it to the ticket so a second engineer can pick it up.
Visit confirmation
Send the engineer's name, the time window and what the client must keep ready. Record that the client confirmed.
Quote as a PDF with a short note
Send the quote and one line naming the decision maker you spoke to. Record when it was sent and read.
AMC renewal reminder
Send the contract end date and the visit history as a short message, and record the client's reply.
Licence or warranty expiry
Send the product, the expiry date and the renewal price, since a client with a lapsed licence blames the vendor.

Who it is for

This is written for these IT services and networking companies.

  • Managed IT service providers for small offices
  • Structured cabling and LAN and Wi-Fi installers
  • Network security and firewall specialists
  • Server, storage and backup solution providers
  • Microsoft 365 and Google Workspace partners
  • IT hardware system integrators
  • Data centre and server room fit-out companies
  • IT firms serving schools, hospitals and factories

Not for

It is not the right fit if.

  • Engineers want to keep clients on their personal numbers, and the firm has not agreed to move those threads to a shared business number.
  • You hold no record of which clients agreed to receive messages, so any offer sent would reach people who never asked.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Should we use the WhatsApp Business app or the API?
The app suits a small team answering a modest number of chats. The API, through an approved provider, suits shared inboxes, automated replies and approved templates sent at scale. Check the platform's current rules and costs before choosing.
Can engineers keep using their own numbers?
Better not. A client thread tied to a personal number leaves with the engineer. Give the team access to the business number, and let engineers use it from their own phones.
Can we send offers to every client?
Message only people who have agreed to hear from you, and about something that concerns them. Check the platform's current rules on opt-in and templates. A reminder about a licence the client holds is welcome, while a general offer is easily ignored.
Can WhatsApp replace our ticketing system?
No, use it as the front door. A message is easy for a client to send but hard to track across engineers. Copy each fault into your ticket record, so the thread and the job card carry the same number.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
