Costing

Who should do which step?
The business development lead takes the enquiry through to the costing, operations leads the visit and a director signs. Write the owner of each step on the record so that no step belongs to everyone.
When do we give a number?
Give the structure early and the number once the sample order file arrives. A figure built on guessed volumes is quoted back to you later.
A brand asks only for the cheapest rate. What do we do?
Send the structure with a sheet of what each charge includes, then ask how peak and returns are handled in the quotes he holds. A brand that wants only a rate may still be a good client, but it will leave if peak goes wrong.
Do we need a pilot step?
Not for every brand. Offer it when a brand has never used an outside provider or fears the festival peak. Write what the pilot covers and how it will be judged, so it does not become an open-ended trial.
Can we publish our rates?
