Spas · CRM

Know who came, who treated them and what they booked next.

A spa CRM records each visit, the treatment, the therapist and where the customer stands in their package, in one place the front desk can read. GullySales sets up those fields, handles sensitive intake notes carefully, and turns the record into the list the desk calls from.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For spas

Where it usually goes wrong, and what we would do.

  • “The therapist's name belongs on every visit”

Customers ask for a person, not a treatment. Without the name on the record you cannot rebook them properly, and you will not notice when that therapist leaves and takes forty regulars along.

  • “A package is a balance, not a sale”

Six sessions paid in advance is a liability with a number on it. The record has to show what is left and when it expires, or the desk cannot sell the renewal.

  • “Some of what a customer tells a therapist is not marketing data”

Pregnancy, injuries, skin conditions and medication come up at intake. Restrict who can see them, keep them out of every promotional list, and take your own advice on what you may hold.

What we do

What we deliver for spas.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Fields built around visits, packages and therapists

Date, treatment, therapist, duration, amount paid, the package it drew from and the balance left, plus the customer's preferred day and time.

Result: The desk rebooks without asking the customer to repeat themselves.

  2. Package balances and expiry visible at the counter

Sessions used, sessions left and the expiry date shown on the record the moment a customer arrives.

Result: The renewal is offered on the last session rather than after it lapses.

  3. Intake notes restricted and kept out of marketing lists

Health information stored where only therapists see it, separated from booking and offer data, set up after checking your own obligations.

Result: Your messaging never touches something told to a therapist in confidence.

  4. Bookings from the phone, chat, Instagram and the door in one record

Every appointment entered in the same place with its source, so the diary and the customer list stop being separate things.

Result: You can see which channel fills a weekday afternoon.

  5. A lapsed list the desk can work

The record read as customers who have not visited recently, sorted by last visit and by therapist.

Result: Somebody drifting away is noticed while it still matters.

  6. Therapist request patterns visible to the owner

Who is asked for by name, how often, and what happens to those customers when that therapist is unavailable.

Result: You know how much of the business rests on one pair of hands.

  7. Visits, renewals and repeat rate against the baseline

Bookings by source and treatment, package sales and renewals, and repeat visits, measured against the baseline recorded before work started.

Result: The owner runs the spa off the record instead of the till.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to record, and when

What a spa should record about every customer and package, and whether software is needed yet.

Products and pressure preferred
Record the oil or product and the pressure a regular likes. When she asks for her usual blend, a new therapist can match it without asking again.
Gift vouchers and corporate passes
Hold the voucher code, the buyer, the person using it and the expiry. A voucher holder is a new customer, so note whether she came back.
Slots people prefer
Note the day and time each customer likes, so empty weekday afternoons can be matched with the customers who prefer them. Call with a slot, not a general discount.
Allergy or caution flag, nothing more
Keep a simple flag on the booking and leave the detail on the therapist's own form. The therapist reads the form. The desk sees only the flag.
Where the customer came from
Mark Maps, a walk-in, a referral or a corporate tie-up. Corporate groups are worth recording separately because they book together.
Do you need software yet?
A booking app with a customer list and a sheet for packages is enough for one outlet with a few therapists. Move to a CRM when package balances, birthdays and several outlets cannot be checked at the counter.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the CRM work runs

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Our booking software already has a customer list. Is that a CRM?
It is, if you can pull a lapsed list and a package expiry list out of it. Most spas never look. We start with what your existing software can export, and only suggest something new if it genuinely cannot do the job.
Should we record which therapist a customer prefers?
Yes, because the customer already has. Recording it lets you book them properly and warns you when one therapist is carrying too much of the business. Treat that list as commercially sensitive and keep it inside the spa.
Do we need the customer's birthday and anniversary?
Only if you will use them. Ask for the day and month, not the year, and say what it is for. A birthday message with a treatment offer is a fair reason to ask, as long as the customer agreed to receive messages.
What happens to a package balance when a customer stops coming?
Write the expiry and refund rule on the package at the time of sale and in the record, and read it out when selling. A balance nobody can see in the record turns into an argument at the counter later.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
