Sports coaching academies · Wellness

Fill your evening batches with children whose parents stay for the term.

It is half past five on a Tuesday and the under-12 batch has nine children on a ground built for twenty. Three families paid last month and have not been seen since. The head coach knows exactly who they are and has no time to call them.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

In one paragraph

A sports coaching academy trains children and teenagers in one or more sports in fixed batches, on a rented ground, court or school campus. Marketing makes parents in the neighbourhood find you. Sales turns a trial session into a paid term. GullySales prepares the batch-wise follow-up: an attendance list and a call script for the parent of a child who has stopped coming.

That is the daily problem of a coaching academy. The coach is good, the ground is booked, the rent is due on the first. What is missing is a steady stream of parents who found you, trusted the trial and kept paying beyond the first term.

How buyers decide

How sports coaching academies are chosen.

The buyer is the parent who handles school pickup, and the shortlist is made on three things: how far the ground is, whether the batch timing fits after school and tuition, and whether the coach looks serious and safe. The question goes to the apartment WhatsApp group and the school pickup line before anyone opens Google. A neighbour's child already training there carries more weight than any advertisement.

The second decision is fee and structure. Parents compare monthly fee against a quarterly or annual plan, ask whether kit is included, and want to know if there are tournaments or only practice. A child who is keen but not yet strong is a worry, so a trial that includes the coach's honest view of where the child stands wins the family.

In the first six weeks a family decides whether the academy is worth keeping. If the child enjoys it, makes a friend in the batch and the parent hears back from the coach about progress, the family has a reason to stay through exams and holidays. If the parent hears nothing, the child may stop attending when board exams come.

The problem

What usually goes wrong for sports coaching academies.

What owners tell us on the first call, in their words.

  • “Enrolment peaks in April and again in June, then drains”

Summer camp fills the ground and the regular batches do not. Many camp children never convert into term students because nobody contacts the parents after the last day.

  • “Parents ask about fees on WhatsApp and then go silent”

The coach answers in between sessions, sends a fee list and gets no reply. Nobody asks whether the parent wants to bring the child for a trial.

  • “Our Google listing shows the ground, not the academy”

A parent searching for coaching near them finds an old photo, no batch timings and three unanswered reviews from last year.

  • “Absent children are not noticed until the fee is due”

A child misses two weeks and the parent hears nothing from us. By the time fees come around, the family has decided the child has lost interest.

  • “Our tournament wins never reach the parents who would care”

A district medal is announced to the batch and goes no further. Prospective parents never see it.

  • “Schools want us for physical education but the talks stall”

Principals welcome the idea, then it waits for a committee. We have no short document to leave behind that the trustees can read.

What we do

What we do for sports coaching academies.

Everything included for sports coaching academies.

  1. A Google Business Profile that shows batches

Batch timings by age group, ground photographs from different evenings, the coaches' names and a booking link for a trial session.

  2. A WhatsApp trial-booking flow

A short set of replies for fee, timing and age questions, ending in a trial date. Each enquiry is logged against the batch it would join.

  3. Camp-to-term follow-up

A list of every camp child with parent contact, and a short message sequence that invites the family to a regular batch after camp ends.

  4. Absence and renewal reminders

A simple check on who has missed two sessions, a call script for the coach or coordinator, and fee reminders that go to the parent before the due date.

  5. Match and tournament write-ups for parents

Short posts with the child's name only where the parent has agreed, shared on Instagram and in a parents' broadcast list.

  6. A school and society proposal

A two-page offer for principals and apartment committees covering the sports, timings, safety arrangements and coach credentials.

How the result is measured

  • Enquiries by source and by batch
  • Trials booked from enquiries
  • Trial children who joined a term batch
  • Camp children who moved to a regular batch
  • Families renewing after the first term
  • Referral joins from current parents

Recorded as a baseline before work starts, so every later report has an honest comparison.

Worth a page and a campaign of their own

Trial session bookings from parents · Batch-wise attendance and follow-up · Summer camp to term enrolment · Tournament and match results shown to parents · Coach profiles that parents can trust · School and apartment society tie-ups · Fee collection and renewal reminders · Referrals from existing families

Priority campaigns

Campaigns for what sports coaching academies most want to sell.

Each one planned around when your buyers decide, and measured against the baseline.

  • Free trial week before the new academic year

Instagram and Meta ads to parents within a few kilometres, plus posters at nearby schools and coaching classes, inviting children to a trial week in the batch matched to their age.

  • Summer camp enrolment drive

Parent-facing ads and a landing page for camp dates, sports and fee, with WhatsApp enquiries routed to one number.

  • Bring a friend month

A referral message sent to current parents, offering a trial for a classmate and a small credit that the academy decides in advance.

  • Results and selection announcements

After district or state selections, a poster and short video of the players and the coach, shared on Instagram, Google and the parents' group.

  • School partnership outreach

A short pack and meeting request to principals and sports teachers nearby, offering periods of coaching or an after-school batch on the school ground.

Beyond search

Where we reach buyers of sports coaching academies, beyond Google.

Search matters, but it is rarely the only way this industry's buyers find a supplier.

  • Parents near the ground

Google Business Profile, local search and Meta ads set around the ground and the schools around it, because most families will not travel far on a weekday evening.

  • School principals and sports teachers

A list of nearby schools without strong sports programmes, and a proposal sent to the principal and the physical education teacher together.

  • Apartment complexes and gated communities

Introductions to resident welfare associations and parents' groups, with a trial day held within the complex where possible.

  • Existing families

A WhatsApp broadcast list of current parents for results, camp dates and fee renewals, kept apart from the enquiry chat so a new parent does not receive notices meant for old ones.

Who it is for

This is written for these sports coaching academies.

  • Multi-sport academies running several sports from one ground
  • Single-sport academies for children, such as cricket, football or athletics
  • Academies inside school and college campuses
  • Residential and weekend academies for serious young players
  • Summer and holiday camp operators
  • Community and apartment-complex coaching programmes
  • Academies that prepare students for district and state selection

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for sports coaching academies

  1. 1

    Look at the batches

Each batch with its strength, fee and the way families joined it, set beside how enquiries are handled today.

  2. 2

    Fix the first answer

A plain set of replies for parents, a trial booking rule and a Google listing that matches the real timetable.

  3. 3

Write who calls after a trial and after two missed sessions

Trial follow-up, camp-to-term messages, absence calls and fee reminders, each with an owner on the academy side.

  4. 4

    Run the seasonal pushes

April admissions, the summer camp page and the post-selection poster, each drafted against the school calendar and the district tournament dates.

  5. 5

    Review what filled the batches

Enquiries, trials and joins counted by source and by batch, so the under-12 evening batch can be read separately from the weekend one.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

Engagement options

Ways to work with us.

Pick the size of commitment that fits. Every option starts with your brief and a conversation.

  1. Option 1

    The conversation on its own

A call after you send your brief. It says honestly whether you need outside help, and many fixes are ones your own team can make.

  2. Option 2

    One fix, scoped

Start with the fix that matters most, such as reply time or follow-up. The fee is in writing before anything starts.

  3. Option 3

    An ongoing programme

We run the work, report against the baseline, and you renew on the numbers. The term and the reporting are agreed in writing first.

  4. Option 4

Guidance for your own team or agency

We plan, brief and check the work of your in-house team or current agency, instead of replacing them.

FAQ

Questions sports coaching academies ask before they call.

Not here? More answers, or ask on WhatsApp.

We coach more than one sport. Do we need separate pages for each?
Each sport needs its own page, because a parent searching for badminton coaching is not the same person as one searching for athletics. The academy page stays as the home and each sport gets its own page and its own timetable.
Can you use photographs of the children?
Only with a parent's written permission. We keep a record of who said yes and for what purpose.
Will advertising bring children from outside our area?
It can, but few will travel far for a weekday batch. We keep ads within reach of the ground and use wider reach only for camps and weekend programmes.
How do we get schools to take us seriously?
Give the principal something short to read and a safety arrangement they can explain to trustees. We prepare that document, and your head coach goes to the meeting.
Our coach has no time for follow-up. Who does it?
We set up the messages and the attendance list so a coordinator or one of the senior students' parents can run it without taking the coach off the ground. Where you want us to make the calls, we agree that separately.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and we tell you which applies to you after we have spoken. Nothing here is guaranteed.
What do you need from us?
To start, last month's enquiries in any format and time with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
