Yoga and pilates studios · WhatsApp marketing

The batch is cancelled at 5.30am, and WhatsApp is how the students find out.

WhatsApp marketing for a studio is the schedule change sent before students leave home, the waitlist that fills a released bed, and the broadcast list students agreed to be on. GullySales sets up the business account, the consent at sign-up and the rule for what is broadcast and what is not.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For yoga and pilates studios

Where it usually goes wrong, and what we would do.

  • “Consent is collected on the trial form, not assumed from the enquiry”

A student who messaged about the 7am batch has not agreed to hear about the workshop, the retreat and the Diwali offer. Ask on the trial form whether she wants schedule messages, offers or both, and record the answer against her name.

  • “The batch group and the broadcast list are different tools”

A group for the 6.30 reformer batch is where a cancelled bed goes to the first person who replies. The broadcast list is where the new workshop goes. Put a workshop in the batch group and members mute it before the next schedule change.

  • “The catalogue is the pack list”

The business account's catalogue holds the packs, the batch times and the trial price, so a student asking how much ten classes cost gets a card, not a typed reply that differs by whoever is on the desk. A UPI link closes it in the same chat.

What we do

What we deliver for yoga and pilates studios.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business account with the packs as the catalogue

A verified studio number with hours, address, the pack list and the batch schedule set up as catalogue items a student can be sent in one tap.

Result: A pack price is quoted the same way by everyone on the desk.

  2. Consent recorded at sign-up

A line on the trial and membership form asking what the student wants to receive, with the answer stored on her record and honoured.

Result: The broadcast list only holds people who asked to be on it.

  3. Batch groups run by a rule

One group per batch, used for the schedule, the substitute teacher and the released bed, with offers kept out of it in writing.

Result: Members keep the group unmuted.

  4. Waitlist by reply

A released reformer bed offered to the batch group and the waitlist, first reply takes it, booked into the register by the desk.

Result: A bed nobody would have known about is filled before class.

  5. Broadcasts with a reason and a way out

Workshops, retreats and new batches sent to those who opted in, with a plain way to leave the list and the list actually pruned.

Result: The studio's number is not blocked by its own members.

  6. Trial enquiries answered from a saved reply

Quick replies for the class-type question, the beginner question and the pack question, each ending in a trial booking link.

Result: An enquiry at 10pm gets the answer and the booking, not a promise to call back.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a studio sets up before it adds members to any list or batch group.

A studio number, not the teacher's
Register WhatsApp Business on a number the studio owns, with class types, timings, address and trial policy on the profile. A teacher's personal number takes students with her when she moves to another studio.
Consent on the trial form
Add a line to the trial and enrolment form: 'Send me schedule changes and studio news on WhatsApp'. Record the number and the date. A person who asked a price in a message has not agreed to a broadcast list.
Catalogue of packs and classes
List the trial class, the monthly and quarterly packs, reformer sessions and teacher training enquiries, with what each includes. Show no health claims, and say who a beginner or prenatal batch suits.
Groups for batches, with rules
A batch group is for that batch's schedule only. Set the rule in the first message: no selling, no personal chat, one admin. A group shows every member's number, so make joining optional.
Templates for changes and waitlists
A schedule change or a waitlist offer you start yourself needs an approved template. Check WhatsApp's current business policy and pricing before planning how many go out. Replies inside an open chat do not.
Broadcast list and the exit
Use a separate broadcast list, for members who agreed, for packs and events. Give each message a reason and a reply word to stop. Keep injuries and health details out of every message.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the whatsapp marketing work runs

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we just add every new member to one big group?
No. In one group of everyone, students see each other's numbers and the schedule for batches they never attend. Keep one group per batch for schedule matters, and an opt-in broadcast list for everything else. A student who asked about a trial has not agreed to either.
What should we never send on the broadcast list?
Anything a student did not opt in to, and anything about her own pack. A message about her expiry or her missed classes is personal and goes one to one from the teacher. The broadcast is for the workshop, the new batch and the holiday schedule, and a member who asks to leave the list is removed straight away.
A member tells us on WhatsApp she is pregnant and asks if she can continue her class. What do we say?
Do not give clearance in chat. Ask her to check with her doctor, and offer a call with the teacher about suitable batches such as prenatal ones. Note the conversation on her record, and keep any health detail out of group chats.
Should the studio send class photographs to the broadcast list?
Only photographs of people who agreed to appear, and never on a list of members who may not wish to be seen. Ask on the enrolment form whether the studio may use class photographs. Prefer pictures of the room and the mats to pictures of faces.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
