Media operations consulting · Marketing

Nobody inside your company owns the media paperwork, so nobody chases it.

Media buying operations is this same job done for you, campaign by campaign. This page is the other route, where we build the process, name the owner inside your team and hand it across.

In one paragraph

Media operations consulting builds the process your own team uses after a media plan is signed: the release order, the deadline calendar, the proof pack and the reconciliation. GullySales writes it for the media you actually buy, names the person inside your company who owns each step, then runs one live campaign through it before handing over.

Most offline media in India runs on a phone call and a confirmation over WhatsApp. Then the mounting slips by a week, four spots are dropped for a cricket match, and there is nothing written down to hold anybody to.

None of the fix is glamorous. It is a release order, a deadline calendar, a proof folder, and one person whose job it is to chase all three.

The problem

Does this sound like your business?

What owners tell us on the first call, in their words.

  • We agreed everything on WhatsApp

A confirmation in a chat is not a booking record. When the site goes up late or a spot is dropped, no document says what you actually bought.

  • The artwork missed the deadline and we still paid

Every medium holds a material deadline that falls before its own start date. Miss it and you forfeit those days while the media owner keeps the money.

  • The invoice does not match what ran

Spots dropped, a panel unlit for a week, an insert that went into the wrong edition. With no proofs collected at the time, there is no basis to raise any of it.

  • Every campaign starts from zero

Nobody kept a record of which vendor delivered, what was paid last year, or who to call at the media owner. So the negotiation restarts every season.

What we do

Everything that is included.

Each deliverable, and what it gets you. Nothing here is an extra.

  1. Release order format

One order template carrying dates, medium, site or band, rate, deliverable and what happens when it is not delivered, raised before any campaign goes live.

  2. Deadline calendar per medium

Booking deadlines, material deadlines, approval steps and cycle starts for each medium you buy, so a campaign date is set by facts rather than hope.

  3. Artwork trafficking checklist

Who makes which file, to which specification, who approves it and who delivers it where, with a named person against every step.

  4. Proof pack defined at booking

What proof each medium owes you and by when: telecast log, mounting photographs, play report, publication copy, delivery challan.

  5. Reconciliation sheet

Delivered against booked, line by line, with shortfalls priced so a credit note or a make-good can be claimed inside the vendor's own window.

  6. Vendor and rate record

Who owns what, who the appointed agency is, what was paid last time and which contact answers the phone, kept in one place instead of in one person's head.

  7. Invoice and compliance check

The invoice read against the order and the proof, with GST details and your GSTIN correct on the document. Your accountant will tell you what is claimable.

  8. Handover session and the standing file

A working session with the people who will run it. Then one folder per campaign holding the order, the proofs, the reconciliation and the invoice, so a question asked six months later has an answer.

How the result is measured

  • Orders raised in writing before the campaign starts
  • Material delivered before deadline, by medium
  • Proofs collected against proofs owed
  • Value of shortfalls claimed and recovered
  • Invoices matched to order and proof without a query
  • Campaigns your team ran through the process without us

Recorded as a baseline before work starts, then reported every month against it.

Who it is for

This is written for you if these sound familiar.

  • Owners spending steadily on offline media with nobody inside the company holding vendors to anything
  • Marketing teams running campaigns through five agencies who each report in a different format
  • Finance heads who cannot match a media invoice to what was actually delivered
  • Companies whose campaigns slip because artwork reaches the printer after the deadline
  • Businesses taking media buying in-house who want the process written down before they start

Not for

It is not the right fit if.

  • Owners who would rather the paperwork was simply run for them, which is media buying operations instead
  • A business whose whole spend is two self-serve digital campaigns, where the platform keeps the records for you
  • Anyone hoping this will make a badly chosen media plan work, because the plan is a separate problem
  • Teams unwilling to raise a written order, since nothing here survives without that one habit

How it works

From your first message to the first monthly report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

45 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · Within a few working days

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope and fee come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · Every month

    Report against the baseline

What moved, what did not, and what changes next, in plain words.

  6. 06 · Month 3 to 6

    Renew on the numbers

The term ends and you decide whether to continue from the results. No twelve-month lock.

How the media operations consulting work runs

  1. 1

    Read the last three campaigns

We go through what was booked, what was delivered and what was paid, and find where the gap between those three sits.

  2. 2

    Write the order format

The release order and its terms are drafted for the media you actually buy, then agreed with you and with your vendors.

  3. 3

    Build the calendar

Deadlines for each medium are collected from the owners in writing and put on one calendar your team works from.

  4. 4

    Set who does what

Every step gets a named owner inside your team, because a process with no name against it is a process nobody runs.

  5. 5

    Run one campaign together

We work a live campaign through the new process from order to invoice, fix what breaks, then hand it over.

Proof

What happened when owners fixed this.

Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every monthly report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No lock-in, no guarantees we cannot keep

Three to six months at a time. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

We run the work month by month, report against the baseline every month, and you renew on the numbers. No twelve-month lock.

Guidance for your own team or agency

We plan, brief and check the work of your in-house team or current agency, instead of replacing them.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we build this ourselves or have it run for us?
Build it if you buy media regularly and have somebody who can hold the job. Have it run for you, under media buying operations, if the buying is seasonal or nobody inside has the time. The paperwork is identical either way, and only the hands change.
Is this the same as media buying?
No. Media planning and buying chooses what to buy and negotiates the rate. This is the machinery that runs after that decision, and it is where the money leaks. Companies buy well and then lose part of what they bought in delivery.
Do we need this if an agency handles our media?
More, rather than less. The agency raises the order and holds the proofs on their side, so you are trusting their reconciliation of their own work. A plain record at your end lets you check it without an argument.
Who should own this inside our company?
One person, and not necessarily a senior one. Somebody in marketing coordination or accounts who will chase a proof and raise a credit note. What kills it is splitting the job across three people who each assume another did it.
What single change is worth making first?
Raise a written release order for every booking, however small. It costs nothing and takes ten minutes, and it is the document that settles every later argument about what was bought.
How is this priced?
There is no published price. The work is scoped in the free audit against how many media you buy and how thin the current records are. It is usually a short piece of work followed by one campaign run together.
How long is the contract?
Three to six months at a time. There is no twelve-month lock, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 45 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the monthly review.
