Call tracking for advertising
A number per campaign tells you which media produced calls and how many rang out unanswered. Recording and attributing those calls is personal data, and that responsibility is yours.

Call tracking means giving each advertisement, site or campaign its own phone number, all ringing the same desk, so that your call log can say where each call came from. It is the cheapest and most reliable offline measurement available in India, because Indian buyers call. It also turns your advertising reporting into a record of personal data. The responsibility for that record sits with your business, not with the agency or the vendor supplying the numbers.
What a number per campaign actually buys you
Three things, in order of value.
Which media produced calls. A number on the Kannada daily, another on the hoarding at the Magadi Road signal, another on the pamphlet, another on the Google Business Profile. At the end of the month the log ranks them, and the argument about the media plan becomes a reading rather than an opinion.
What happened to those calls. Ring time, how many rang out, what time of day they arrived, how many were repeat callers. This is usually the more valuable half and almost nobody buys it for that reason.
Whether a source is producing the wrong kind of caller. Twenty calls from a classified advertisement, every one asking for a job, is information you want in week one rather than in month three.
Set it up so nothing changes for your team
The fear is always that tracking numbers complicate the front desk. They do not, if the setup is done properly.
Every tracking number forwards to the same landline, mobile or IVR you already use. The person answering hears the same ring and answers the same way. Where the system allows it, a short whisper before the call connects tells them the source, so the receptionist knows a hoarding caller from a website caller before saying hello.
Route the numbers out of hours to a mobile that someone actually carries, and set a rule about what happens to the missed ones. Otherwise your new reporting will faithfully record a problem nobody is fixing.
On WhatsApp, the equivalent is a separate click-to-chat link per campaign with its own message pre-filled, which is closer to how a lot of Indian buyers prefer to start. A campaign that carries a number and a chat link will often see the chat run ahead of the call.
Dynamic numbers for the website, and when not to bother
Dynamic number insertion works differently. Instead of one number per advertisement, a small pool of numbers sits on your website, and the number a visitor sees swaps depending on where that visit came from. When they call, the source of the session is attached to the call.
It is genuinely useful when you take enough calls from the site to fill the pool and you run several online sources at once. Search, Meta and referral calls can then be told apart. It is a poor purchase when call volume is low. A small pool recycles quickly and attributes calls to the wrong session, so you have paid for precision that is actually noise.
The honest alternative for most small businesses is four fixed numbers: print, outdoor, website, and the Google Business Profile. That covers the decisions you are actually going to make.
The limits, stated plainly
A tracking number records the number the caller dialled. That is all it knows.
Somebody who saw your hoarding, searched your name, opened your website and called the number there is recorded as a website call. The hoarding gets nothing. This is the same last-touch problem every measurement system has, and adding numbers does not solve it. It narrows it.
A caller using a number saved in their phone from last year is recorded against whatever campaign that number belonged to. A shared mobile in a family or a shop makes repeat-caller counts unreliable. And a number printed in a directory, on a vehicle or on a signboard will produce calls for years with no campaign behind them.
So read call tracking as strong evidence about which media produce direct response, not as a complete map of who influenced whom. The same caution runs through tracking offline advertising generally.
The part vendors skip: this is personal data
A call log is a record of who called your business and when. A recording adds their voice and everything they said. For a clinic, a diagnostic lab, a lender or a legal practice, that can include the most sensitive information a person has. Attaching a source to it makes it a profile.
That record is your business's responsibility. It does not transfer to the agency that set up the numbers, to the telecom provider, or to the software vendor whose dashboard shows it to you. India has a data protection law with rules that have been coming into force in stages. Sectoral rules and telecom regulations may also apply to how you call people back. What applies to your business is a question for your own legal adviser, and you should be suspicious of anyone who answers it for you in a sales call.
What a business can sensibly do, whatever the detail of the rules:
- Announce the recording at the start of the call, in the language the caller is speaking, before anything is captured.
- Write down why you record, who can listen, and how long recordings are kept. Then actually delete them on that schedule.
- Keep recordings out of personal phones, shared drives and messaging groups.
- Do not record a call at all where the content is sensitive and the recording adds nothing, such as a patient describing symptoms.
- Check what your vendor's contract says about where the data is stored and what happens when you leave.

What to do next
Count the calls you missed last month. Most owners cannot, and that answer alone justifies switching call tracking on before any media decision is made.
Then put a number against each line on your next media order and forward them all to the same desk. Read the first month as a report on your own phone handling. The media ranking will still be there in month two, and it will be more reliable by then.
