UTM tracking for campaigns

Five parameters decide whether your analytics can tell one campaign from another. The hard part is not the tags, it is four people tagging links four different ways.

A UTM tag is a piece of text added to the end of a web address that tells your analytics where the visit came from. Five parameters do the work: source, medium, campaign, content and term. The mechanics take ten minutes to learn. The reason campaign reporting collapses in most businesses is the governance rather than the mechanics. Four people tag links four different ways, nobody owns the list of allowed values, and the mess cannot be repaired afterwards.

The five parameters, and what to put in each

Source and medium carry almost all the value. Campaign is what makes a report readable a year later, so write a name you will recognise then, with the month in it. Content is how you tell two creatives or two creators apart.

Four rules that prevent most of the damage

Lowercase, always. Analytics tools treat Facebook and facebook as two different sources, and your report will show both, split. This one mistake accounts for more broken campaign reports than any other.

Hyphens, never spaces. A space in a parameter becomes %20 and the report becomes unreadable.

Never tag an internal link. Putting a UTM on a button between two pages of your own site starts a new visit and replaces the original source with the tag you just invented. A business doing this for six months will see its own campaign names sitting where Google and Meta should be, and the real sources are gone.

No personal data in a tag. UTMs sit in the address bar, they get copied into WhatsApp, and they end up in logs. A phone number, an email address or a customer name in a parameter is a leak with no upside.

One more, less obvious: people read your tags. A campaign named discount-for-dead-leads will eventually be seen by a customer who pasted the link into a group.

What breaks without tags, and what breaks with them anyway

Without tags, most of what you spend money on arrives in your analytics as direct or unassigned, and the monthly report becomes a guess with charts.

With tags, a share of the traffic still will not be attributed, and it is worth knowing why before someone tells you the setup is broken. Messaging apps and app browsers frequently drop parameters. Email clients rewrite links. Privacy settings and short cookie lifetimes on iPhones cut journeys short. A buyer who sees a link on a phone and opens the site on a laptop arrives as a new person with no history.

For most Indian small businesses, a quarter to a third of traffic landing in direct or unassigned is normal. Report it as unassigned rather than quietly folding it into whatever channel is being defended that month.

The governance problem, which is the real one

Here is how it goes wrong, and it goes wrong the same way everywhere.

The agency tags its Meta links facebook / paid_social. The freelancer running the Google campaigns uses FB / cpc for a retargeting test. The person sending the newsletter uses newsletter / email in March and Newsletter_Sept / Email in September. Somebody tags the WhatsApp broadcast wa. Three months later the source report has eleven rows for four sources, the campaign column has entries nobody recognises, and none of it can be fixed retroactively.

The fix is unglamorous and takes an afternoon:

  1. One sheet. A link register listing the allowed values for source and medium, the campaign naming pattern, and every link ever built, with who built it and when.
  2. One owner. A named person who adds new values. Everyone else picks from the list.
  3. Links built from the sheet. Agencies and freelancers get a copy and a rule: no new source or medium without asking.
  4. A monthly look. Open the source and medium report, sort by newest, and look for values that should not exist. Catching FB in week two is a conversation. Catching it in month five is a lost quarter.

Put the register where the agency can see it. An agency that is given a convention follows it; one that is given nothing invents its own, reasonably.

Tagging your offline campaigns

Offline media can carry UTMs too, through a short address on your own domain that redirects to the tagged link.

Print a readable address on the hoarding or the pamphlet, such as your site's name followed by one word, and set up the redirect to carry the tags. The reader types something short, your analytics receives the full tagging, and you can change where it points later without reprinting anything. The same applies to every QR code, where a separate tagged link per placement is the entire point of using codes at all.

Use utm_medium=print, qr or outdoor for these, so offline response sits in your reports beside the digital sources rather than in a separate spreadsheet nobody opens.

What a UTM cannot do

It records the last tagged click before the visit. It does not know about the hoarding that started the journey, the friend who recommended you, or the eleven times someone saw your name on Instagram without clicking.

For example, a real estate project launch runs nine tagged sources and reports 212 website enquiries. The figures are illustrative. That report is a faithful record of the last click and a poor record of what created the demand. The site boards outside the project carry no tag at all. Read it with that caveat written at the top, next to the count of unassigned visits.

What to do next

Open your analytics, find the source and medium report for the last three months, and count the rows that are variants of the same thing. That number is the size of your governance problem.

Then build the sheet, name the owner, and send both to everyone who touches a link. It is the cheapest piece of marketing plumbing there is, and no dashboard will work without it.

Questions owners ask.

Do UTM tags slow down or harm SEO?
No, when used properly. Tag links coming into your site from outside, and never tag links between pages of your own site. Internal tagging is the one version of this that causes real damage, because it restarts the visit and wipes the original source.
Why does so much of our traffic show as direct?
Some of it is genuinely people typing your name, and the rest is untagged links, messaging apps, app browsers and privacy settings stripping the information. A quarter to a third of traffic landing in direct or unassigned is ordinary for an Indian small business, not a broken setup.
Should we tag our email and WhatsApp links?
Yes, and expect messaging to be the least reliable of the two. Email clients and chat apps rewrite or drop parameters, and a link opened inside an app browser may not carry them through. Tag anyway, and read the numbers as a floor.
Who should own our UTM naming?
One person, with one sheet. It does not matter whether that is the marketing coordinator or the owner, as long as every agency and freelancer builds links from that sheet rather than inventing values. Two people tagging freely for a quarter produces a report nobody can repair.
Can we fix old links that were tagged wrongly?
Not retroactively. The data was recorded as it arrived and analytics will not rewrite it, so a quarter tagged four different ways stays that way forever. You can only group the variants by hand in a report and start tagging properly from today.
