Corporate gifting for Diwali: how to win the order before the company asks for quotes

How a corporate gifting supplier wins a company's Diwali order before quotes are requested: reach the admin and HR heads early with a tiered catalogue, a sample plan and invoice terms finance accepts.

By the time a company asks for Diwali gift quotes, someone there has often held a sample and picked a favourite supplier. The quote round exists because finance needs three names, and a supplier whose catalogue first arrives that week is only filling a slot. To win the order, reach the people who choose while the budget is still being set. Bring a catalogue in the company's own gifting tiers and a sample branded for the person who decides. Then offer payment terms finance can approve without a fight.

Who decides a company's Diwali gifts?

In a company of forty people, the founder often chooses the gifts and pays for them. Past a few hundred people, choosing and paying come apart, and you are selling to three or four people who never sit in the same meeting.

The admin or facilities head runs the logistics, and wants a vendor who creates no work. That means one delivery per office and a spreadsheet of home addresses for remote staff. It also means nobody ringing them on Dhanteras about a missing carton.

The HR head owns the staff gift and the budget per head. Their test is harsh. Will people open this and feel the company was generous, or will it turn up in a group chat as a joke?

The managing director's office or the sales head chooses client and dealer gifts: fewer boxes, larger per box, chosen on taste. A sample does the selling.

Finance and procurement approve the vendor. They want a vendor code, a purchase order, a GST invoice that matches the PO line by line, and credit terms if they can get them. They do not care what is in the box.

Why the quote round comes too late

Procurement often asks for three quotes because its own rules say so. The rule needs three names, not three contenders, and the person sending the request may already know whom they want: the vendor whose sample they have held. If you are one of the other two, you can only win on price, and the logo printing comes out of your pocket.

So the selling moves earlier, to the weeks when the admin head is still asking "what did we do last year, and what should we do this time?"

A sample plan, in order

Decide before the season how many sample boxes you can afford to give away. Then choose who gets them, and for each company:

  1. Find, by name, the person who chooses each tier. Last year's buyers, LinkedIn and the company's front desk are the usual routes.
  2. Send a short note with your catalogue built in three tiers: staff, channel partners and dealers, key clients. Each tier shows three or four options with a price band, a minimum quantity and the branding on offer.
  3. Offer one sample box in the tier that person chooses. For client gifts, that is the MD's office.
  4. Mock the company's own logo on the sleeve or card before it goes. A box with your logo shows them your brand. A box with theirs shows them their Diwali.
  5. Put a card inside with the tier prices and the last day to confirm for branded delivery before the festival, set from your printer's and courier's dates.
  6. Call the day after it lands. Ask what they would change, and in the same call ask for their vendor registration form.

Step six is easy to skip, and skipping it can cost the printing slot: without the vendor form in hand, finance starts the vendor code only after the PO arrives. A first note can be this short:

Dear [name], we make Diwali gift boxes for companies in Pune, in three tiers from staff to key clients. Each can carry your logo on the sleeve, or a card signed by your MD. The catalogue is attached. If you are deciding this season's gifts, may I send one client box with your logo mocked on it, so you can judge it in hand? I will call on Thursday.

The paperwork that loses orders late

Some corporate orders are lost after the company has said yes: finance takes days to create a vendor code, and the logo sleeves miss Diwali. So keep your vendor papers ready and hand them over at the sample call. The full folder is in our note on getting onto a company's approved vendor list. For gifting, add a photograph of each tier's box beside its line on the quote. Then the PO names the box the HR head chose.

Decide your payment line before finance proposes theirs. Logo-printed goods cannot be sold to anyone else. A fair rule: nothing gets printed until the PO and an advance covering the printed items are in. Unbranded staff boxes from stock can go on the credit terms finance asks for, if your cash allows it.

An invented case: a gifting firm in Pune

Take an invented Pune firm making dry fruit boxes, brass diyas and desk sets. In its first corporate season it waits for last year's buyers to call, then emails a 140-product PDF to HR inboxes the week before Diwali. Two companies ask for quotes. It loses both on price to a supplier who had sampled them weeks earlier. A third says yes, but its finance team takes eight days to issue a vendor code, and the logo sleeves arrive after the festival.

The next season it starts from a list of forty companies in Hinjewadi and Chakan, the IT parks and the auto plants. Each is tagged by headcount and by whether it gifts staff, clients or both. The catalogue shrinks to twelve products in three tiers, for example a staff box at ₹650 and a client box at ₹3,500 (illustrative figures). Fifteen admin heads and MD's offices receive a sample with their own logo mocked on it, and the vendor form is collected at the sample call. Fewer companies hear from the firm, and the samples cost more than the first season's profit on the two orders they produced. More companies already know the firm when quote requests go out.

When early outreach is not worth it

Skip it if your printer cannot do logo sleeves for several companies at once. Ten samples that all say yes become ten orders you cannot brand in time. Skip the staff tier at companies that give e-vouchers; their client tier may still be open. Some companies cap what their people may give to clients or accept from vendors, so ask before you pitch a premium client box.

What to do next

Write down thirty companies within your delivery reach. Beside each, put the name of the person who chooses its client gifts. A blank means research comes before any sample. Building the list and the first note is outbound sales prospecting work, and gift sellers sit in our e-commerce sales and marketing group. To have the list, catalogue and first note ready before the season, tell us what you need.

Questions

Questions owners ask.

When should a gifting supplier first contact a company about Diwali?
Before the gift budget is fixed, which is well before the festive ads start. Ask each company that bought from you last time when they decided, write it down, and contact them a little before that point next season. For a company that has never bought from you, ask the admin head on the first call when the gift budget is approved, and send the sample a few weeks ahead of that date.
Should I send free samples to every company that asks?
No. Send free samples to companies you have qualified: you know who decides, roughly how many people they gift, and that they give physical gifts rather than vouchers. For anyone else, offer a paid sample adjusted against the order, or a video call where you open the box on camera.
Can I quote one price for gifts delivered to many cities?
Quote the gift and the delivery as separate lines, with delivery priced by zone, because a box to the next street and a box to Guwahati do not cost the same to send. How to invoice one order delivered to offices in several states is a question for your CA, so ask before you quote.
Do companies want their logo on client gifts?
On staff gifts, a logo on the sleeve or card is welcome. On client gifts it can make the box look like advertising, so offer a printed card signed by the managing director instead and let the company choose. Show both versions on the sample so they can see the difference.
