How clinics can generate more appointment enquiries

A clinic gets more appointment enquiries by removing the four reasons a patient who found it did not book: the site or the profile did not say clearly whether the clinic treats their problem and who would see them; nothing gave them a reason to trust it over the clinic on the next street; booking meant a form, a wait, or a phone that went unanswered; and the enquiry they did send was not answered before they booked elsewhere. Fix those four, in that order, and the same searches that already reach the clinic produce more booked appointments. Then, and only then, spend on bringing more searches.

Start by counting what happens now

For a month: how many people called, sent a WhatsApp, filled the form or walked in asking about an appointment; how many were answered, and how fast; how many booked; how many came. Ask every new patient how they found the clinic. Most clinics find they lose a third of enquiries between the message and the booking, and that the losses are in the evening, when the phone is off and the WhatsApp is unread.

Decide who owns enquiries: the front desk during hours, with a standard — answered within minutes — and someone with the WhatsApp in the evening, even if the answer is “we will call you at 9 tomorrow, is that all right?”

Clarify specialties, treatments, availability and patient questions

The first screen of the website and the profile description say, in plain words, what the clinic treats and who does it: “Dental implants, root canal and children’s dentistry, Dr Meera Rao MDS, Jayanagar, Monday to Saturday.” A page per treatment says what it involves, how many visits, roughly what decides the cost, and which doctor does it. Availability is stated: which doctor sits on which days, whether same-day appointments exist, whether there is an emergency number. The questions patients ask before booking — does it hurt, how long, what does it cost, is it covered, what should I bring — are answered on the treatment page, because a patient who cannot find the answer asks another clinic.

This is information, which the professional code allows, and it is what turns a search into an enquiry. A clinic that is vague about what it treats is skipped by the patient who is sure what they need.

Improve discovery, trust, enquiry and booking journeys

Discovery is the map and the treatment pages: the profile complete with the right category, the doctors’ profiles, real photographs, and a page per treatment that names the area — the local SEO checklist. Trust is the reviews and the real faces: a steady flow of reviews asked for ethically and answered carefully, the doctors named with qualifications and photographed, the clinic shown as it is. Enquiry is the tap: the phone number and a WhatsApp link at the top of every page and on the profile, a form with three fields for those who prefer it, and a line saying what happens next — “we reply within minutes in clinic hours”.

Booking is the shortest path from enquiry to a slot: the receptionist offers two times on the first reply rather than asking the patient to choose from a calendar; an online booking link for the clinics that have one, kept accurate; a confirmation on WhatsApp with the address, the doctor and what to bring; and a reminder the day before, which cuts no-shows more than anything else a clinic does.

Mistakes, and what a working clinic funnel looks like

Should a clinic run Google Ads?

For a specific treatment with capacity — implants, a health check, a procedure — to a page about that treatment, in the catchment, with call tracking, yes, once the phone is answered and the reminders run. Before that, ads buy enquiries the clinic loses.

Is WhatsApp acceptable for a clinic?
