How to increase hotel direct bookings without fighting the OTAs

Make your own website as quick to book as an OTA, answer calls and WhatsApp in minutes, and give guests a reason to book direct. Then sell to corporate and group buyers yourself.

To increase hotel direct bookings, make your own website as easy to book on as an OTA, and answer every call and WhatsApp message within minutes. Give guests a clear reason to book with you. Then go out and win corporate and group business yourself. Most small hotels lose direct bookings in the last step. A guest finds the hotel on Google, visits the website, and then books on an OTA because the booking button was slow or the phone went unanswered. Fix that step before you spend on advertising.

Why guests book on an OTA after finding you on Google

Watch what a guest actually does. They search for hotels in Hampi or Coorg on a phone, see three names on Maps, open your website, and look for the price and the booking button. A slow page, a price hidden behind a form or a booking engine with twelve fields sends them back to the OTA app. Their card is already saved there.

The OTA did not win that guest. Your booking path lost them. Every one of those bookings costs you a commission on a guest who was already looking at your name.

Hotel digital marketing that brings bookings, not likes

Hotel digital marketing has three jobs, and posting on Instagram is the smallest of them.

The first is being found for the searches a guest makes before choosing a town's hotel: "resort near Chikmagalur with pool", "hotel near Mysuru Palace with parking". That is search engine optimisation (SEO) on pages that answer those searches, plus a Google Business Profile with real photographs of the rooms guests will actually get.

The second is being chosen. Reviews answered by a named manager, a clear cancellation policy, and photographs that match the room are what tip a comparison.

The third is being remembered. A guest who stayed once and had a good time is the cheapest direct booking you will ever get, if you can reach them. Collect a phone number and permission at check-out, and send one useful message before the next long weekend, not a weekly flyer.

Hotel sales lead generation for corporate and group business

Leisure guests mostly find you. Corporate accounts, wedding groups and training programmes have to be sold to, and this is where most small hotels do no sales at all.

Start a list with the companies within ten kilometres. Add colleges and hospitals that host visiting faculty and doctors. Add the wedding planners and banquet halls in town whose guests need rooms. Then give one person the job of calling them, sending a corporate rate sheet and following up.

Group enquiries are where hotels lose the most money quietly. A request for twenty rooms for a wedding comes in on WhatsApp, the quotation goes out two days later, and nobody calls again. Treat every enquiry of ten rooms or more as a sales lead with an owner, a quote within a day, and a follow-up plan. Lead response and follow-up is the part of the work that fixes this.

Where hotel revenue management fits

Hotel revenue management is the practice of setting room rates by date and demand, so you sell more rooms at better prices across the year. For a small hotel it does not need expensive software to begin with.

Start with three things. Know your busy and empty dates for the last two years. Price long weekends, festivals and local events ahead of time instead of on the day. Decide how many rooms each OTA gets on peak dates. Otherwise the OTAs sell your last rooms at a commission while direct and corporate guests are turned away.

Revenue management and direct bookings pull together. Every room you sell direct on a peak night is a room you did not pay commission on at your highest rate.

An illustrative example

For example, take a 32-room hotel in Mysuru that sells most of its rooms through two OTAs. The figures here are illustrative, not from a real client.

Say the hotel sells 600 room nights a month at an average of ₹3,500, and 70% come through OTAs at a commission of 18%. That is roughly ₹2.6 lakh a month in commission. Now suppose phone-friendly booking, faster WhatsApp replies and free breakfast for direct guests move ten points of that mix to direct. The hotel keeps close to ₹38,000 a month it was giving away. That is before any corporate account is signed.

None of this needs a bigger advertising budget. It needs a booking engine that works and someone who answers the phone at night.

No. OTAs bring guests who would never have found you, especially first-time visitors to a town. The aim is to change the mix, so that repeat guests, corporate accounts and people who already know your name book with you rather than through a commission.
Can we offer a lower price on our own website than on the OTAs?
Read your OTA contracts first, because some carry rate parity terms. Many hotels avoid the question by keeping the room rate the same and adding something only direct guests get, such as breakfast, early check-in or a free airport drop.
Which booking engine should a hotel use?
One that works in three taps on a phone, takes UPI and cards, shows the real available rooms from your channel manager, and sends the confirmation on WhatsApp and email. Test it yourself on a mid-range Android phone before you sign.
How do we know if direct bookings are actually growing?
