Car rental companies · CRM

Keep every traveller, trip and corporate account in one place, not one phone.

A customer record system for a car rental company holds who travelled, where, in which vehicle and when they are likely to travel again. GullySales sets up a record that matches how you take bookings, so a driver leaving or a phone changing does not take the customers with it.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For car rental companies

Where it usually goes wrong, and what we would do.

  • “The customer list lives in the owner's phone”

Years of travellers sit as saved numbers and old chats on one handset. If it is lost, or the person handling bookings leaves, the repeat business goes with it and nobody can say who travelled last Diwali.

  • “Repeat trips follow the calendar”

A family that hired an Innova for a hill station in May will think about the same trip next May. Without a record of the route and month, nobody has a reason to message them before an aggregator does.

  • “Corporate accounts need a trip history, not a diary”

A travel desk disputes an invoice by quoting dates and vehicle numbers. An operator who can open the account and read back every trip settles the argument; one who searches old chats loses an afternoon and some goodwill.

  • “A double booking is a record problem”

Two people confirming the same tempo traveller for one date, one on a call and one on WhatsApp, is how a wedding party is let down. A single sheet showing vehicle, driver and dates prevents it.

What we do

What we deliver for car rental companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A customer record built for trips

One entry per traveller or company with the route, vehicle, dates, the person who booked and the person who paid.

Result: Any team member can see a customer's history before replying.

  2. A booking sheet for every vehicle

A single calendar of vehicles and drivers, updated when the advance is received, with enquiries kept apart from confirmed trips.

Result: A car is never promised twice for one date.

  3. Corporate account pages

For each company, the contacts, rate contract, billing details, monthly trips and renewal date in one place.

Result: An invoice query is answered from the record.

  4. Existing contacts brought in

Saved numbers and old chats sorted into the record with route and season noted, and consent for messages recorded.

Result: Past travellers are on a list you can message.

  5. Tags for season and route

Labels such as pilgrimage, hill station, wedding and airport, so a group can be messaged before its own season.

Result: A reminder goes to the families who travel that route.

  6. Access rules for staff and drivers

A decision on who sees phone numbers and who only sees the day's trips, written down and set in the tool.

Result: A departing driver does not leave with the customer list.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Fields worth keeping

What to record about each trip and customer so the next booking starts from the last one.

Vehicle type and seat count asked
Filled by whoever takes the enquiry. Lets you offer the same tempo traveller or sedan the group used before, and shows which vehicle is asked for most.
Route and number of days
Filled at quote time. Shows which outstation routes repeat each season and which customers book the same trip every year.
Advance received and balance due
Filled by the person who collects payment. Stops a vehicle being sent out against a booking whose advance never arrived.
Driver assigned and vehicle number
Filled at confirmation. Answers the late-night question of who is on which trip and lets you offer the same driver to a repeat customer.
Corporate account and billing contact
Filled once at onboarding. Keeps the GST details and the person who approves invoices with the account, not in a message thread.
Source of the enquiry
Filled on the first message: Maps, referral, portal or repeat. Lets you see which source brings direct bookings you keep.

Who it is for

This is written for these car rental companies.

  • Outstation cab and chauffeur-driven car operators
  • Airport transfer and city taxi services
  • Self-drive car rental companies
  • Tempo traveller and mini-bus rental operators
  • Luxury and wedding car rental services
  • Corporate car rental and employee transport providers
  • Long-term car leasing and subscription providers
  • Tour operators with their own fleet
  • Travel agents who arrange cabs through partner fleets

Not for

It is not the right fit if.

  • Your bookings arrive through one portal that holds the customer record, so there is no list of your own to keep yet.
  • No one in the office has time to enter a trip once it is confirmed, so the record would be empty within a week.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do we need paid software for this?
Not at the start. A shared sheet with the right columns works for a small fleet. Move to a tool when more than one person takes bookings or when corporate accounts need invoicing and reminders. GullySales will say which one fits your volume.
Can drivers see customer phone numbers?
Give them what the trip needs, such as the pickup point and the traveller's first name, and keep the full list with the office. A driver who holds every number can approach those customers directly, and you may not learn of it.
How do we keep portal bookings in the record?
Add them with the portal named as the source, using only the details the portal shares with you. Check the portal's current rules on contacting its customers, and message only those who gave consent through you or directly.
Can we keep portal customers in the same record as direct ones?
Yes, add a source field and keep both in one list. You may see only the portal customer's name and trip only, so record what the portal shares and check the portal's current rules on contacting them.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
