Car rental companies · Lead generation

Send the all-in figure before the traveller messages the next operator.

Lead generation for a car rental business is about the WhatsApp enquiry that arrives with a date and a destination, and the quote that decides it. GullySales sets up the questions asked back, an all-in quote format and the corporate outreach that fills the weekdays between leisure trips.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What lead generation means

Lead generation is the combined work of every channel that brings in a new enquiry, whether from search, adverts, referrals or a stall at an exhibition. GullySales runs these channels together and reports the number of enquiries each one produced, not the activity behind it.

For car rental companies

Where it usually goes wrong, and what we would do.

  • “Whoever replies first with a full figure wins”

A traveller messages three operators at once, and the one who sends a complete cost with a photograph of the vehicle is booked within the hour.

  • “The enquiry is missing the pickup point and the return”

A message saying Mysore on Saturday leaves out the pickup, the number of passengers and whether it is one way, and each of those changes the price.

  • “Corporate leads are chased, not received”

An admin desk with a weekly airport run will not search for you, so that pipeline comes from a list, a rate contract and a call.

What we do

What we deliver for car rental companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Five questions asked on every enquiry

Dates, pickup point, passengers, vehicle preference and whether it is one way, sent back as one saved message.

Result: You can quote accurately on the first reply.

  2. An all-in quote format

A quote template stating the per kilometre rate, minimum kilometres, driver bata, tolls, parking, night charges, GST and the vehicle photograph.

Result: The customer sees the full cost before booking.

  3. An evening and night reply rota

A named person covering the hours enquiries arrive, with saved quotes for your common routes.

Result: A nine o'clock message gets a nine o'clock quote.

  4. A corporate outreach list and rate contract

Nearby offices, hotels, hospitals and planners listed with the travel desk contact, and a rate contract pack ready to send.

Result: Weekday work is being asked for, not waited for.

  5. An enquiry log by source and route

Aggregator, Maps, WhatsApp, referral and corporate enquiries logged separately with the outcome and the value.

Result: You can see which source is worth the commission it costs.

How the result is measured

  • Enquiries generated
  • Cost per enquiry
  • Enquiries by source

Recorded as a baseline before work starts, so every later report has an honest comparison.

Where enquiries come from

The places a trip enquiry reaches a car rental operator, and what to record at each.

A WhatsApp message for an outstation trip
Record the dates, pickup point, route, passengers and the vehicle asked for. Reply with an all-in quote stating kilometres, driver bata, tolls and night charges.
A phone call for an airport or local transfer
Write the flight or pickup time and the drop address. Confirm the car and driver details in a message after the call.
An aggregator booking
Record the aggregator, the trip and the customer's name. Add the customer to your own list only if they agree, and note which trips came from the aggregator.
A corporate or travel desk's request
Record the company, the contact, the number of employees using the cars and the billing process. Send the rate sheet and the documents they ask for.
A wedding or event car booking
Write the date, the number of cars, the pickup times and the decorations needed. Confirm each vehicle's registration and driver in writing.
A repeat customer's call
Pull up the earlier trip before replying and offer the same driver where possible. Record the route they booked and the next trip they mention.

Who it is for

This is written for these car rental companies.

  • Outstation cab and chauffeur-driven car operators
  • Airport transfer and city taxi services
  • Self-drive car rental companies
  • Tempo traveller and mini-bus rental operators
  • Luxury and wedding car rental services
  • Corporate car rental and employee transport providers
  • Long-term car leasing and subscription providers
  • Tour operators with their own fleet
  • Travel agents who arrange cabs through partner fleets

Not for

It is not the right fit if.

  • Trip enquiries arrive on drivers' personal phones, so a capture process would depend on each driver passing messages along.
  • The company quotes a different figure depending on who answers, so a recorded lead would carry a price nobody stands behind.

How it works

How the lead generation work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand your capacity

We ask how many enquiries your team can answer well, who answers after hours, and what a good enquiry looks like. Without this, the system fills a funnel nobody is watching.

  2. 2

    Audit current sources

We read your call log, WhatsApp chats, enquiry sheet and platform dashboards. The baseline is recorded: enquiries by source, reply time, conversion and cost per order.

  3. 3

    Strategise the channel mix

Search and maps are chosen for people ready to buy, ads for people who are not yet looking, and content and referrals for trust.

  4. 4

    Implement capture and follow-up

Pages, forms, tags, the lead record and the first-reply message are built and tested end to end. We submit test enquiries ourselves before any media money is spent.

  5. 5

    Measure and optimise

Enquiries are traced to source and judged by what became orders, not by volume alone. Channels that fill the sheet with poor enquiries are cut back. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 1, prospecting and lead generation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

How fast do we need to reply to a quote request?
Within minutes during the day and the same evening at night. Travellers message several operators together. A reply the next morning arrives after the booking has been made elsewhere.
How do we get corporate accounts?
By approaching admin and travel desks with a rate contract, your permits, insurance and driver verification in one pack. Most companies review vendors on a cycle, so the work is getting on the list and following up until that date.
How do we tell a customer who is only checking rates from one who will book?
A booking customer gives a date, a route and the number of people. Reply with an all-in quote and a request to confirm. A customer who gives none is checking rates. Answer politely and note the number.
How do we avoid double-booking a car when enquiries come on phone and WhatsApp?
Keep one booking sheet that everyone updates at the moment a booking is confirmed, with the vehicle, driver and dates. A car is held only after the advance. Enquiries that are not confirmed stay in the enquiry list, not on the sheet.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
