Fleet leasing companies · Email marketing

Write to the finance head and the admin head separately, from a list you can defend.

Email marketing for a fleet leasing company means one-to-one and list mail to the people who buy long leases: finance heads, admin heads, HR heads and the CAs who advise them. The list is small and each name matters. GullySales builds it from your own records, sets up consent and the sending domain, and writes mail that gives the buyer a reason to reply.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For fleet leasing companies

Where it usually goes wrong, and what we would do.

  • “The mail goes to a general mailbox and the admin head's assistant”

The person who signs a lease is a finance head or a director. A circular to info@ gets read by someone who has no say.

  • “The newsletter is about new car launches”

Dealers send launch news. A buyer of a long lease wants to know that a lease ends soon, that a policy changes the entitlement, or that a new electric model has a charging need.

  • “A bought database of companies fills the list”

The addresses belong to people who never asked to hear from a lessor, and some bounce. Your sending domain pays for it when mail lands in spam.

What we do

What we deliver for fleet leasing companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A list built from your own records

Clients, past requests for quotation, lease-end dates, introducers and dealer contacts, each with a role and the date and source of the address.

Result: Every name on the list is someone who has dealt with you.

  2. Segments by lease stage

Running lease, lease ending soon, quote not taken, new prospect and introducer, each with its own note.

Result: A client three months from the end of a lease is not sent a prospecting mail.

  3. A note to buyers whose quote you lost

One mail asking what decided it, offering the comparison sheet again and naming the one thing that has changed since: a new vehicle, a city, a service tie-up.

Result: A closed request has a way back to the table.

  4. A lease-end notice for running clients

A plain mail sent as the end of the term approaches, setting out the options, the steps and the name of the person to call.

Result: The client hears from you before a competitor's note arrives.

  5. Sender set-up and a consent record

Mail sent from your own domain with the technical records set, and a log of where and when each address agreed to be contacted.

Result: Your mail reaches the inbox and you can show where each address came from.

  6. Replies routed to a person

A reply-to address that reaches the account owner, with a phone number in the signature.

Result: A finance head's question gets an answer from someone who knows the lease.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

Six things to settle before you write to a company that might lease from you.

Named buyers with roles
Keep the finance head, the admin head and the HR head as separate entries. The role decides whether the mail talks about cost lines, vehicle availability or the employee scheme.
Consent and the source of each address
Record where and when each address was given. India's data protection law expects you to be able to show it, so check what applies to you with your own adviser.
A sending domain with its records set
Have SPF, DKIM and DMARC set on your own domain before any list mail. A lessor whose quote lands in spam loses the request before the buyer sees it.
Segments by lease stage
Separate running clients, leases near their end, lost quotes and new prospects. Each group needs its own note, and the lease-end group matters most.
An unsubscribe that leaves service notices alone
Let a buyer opt out of offers and updates. Keep notices about a running lease, such as renewal dates and insurance, as service mail and say so in the footer.
A reply that reaches the account owner
Send from a person's address with a phone number below. A no-reply sender tells a finance head that nobody will answer her question.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the email marketing work runs

  1. 1

    Understand your list

We review who is on the list, how they got there, and how long it has been since they last heard from you.

  2. 2

    Audit past sends

We check open and click rates from past emails to see what has and has not worked.

  3. 3

    Segment and plan

The list is split into meaningful groups and a sending calendar is agreed.

  4. 4

    Implement content and automation

Emails are written, scheduled and, where useful, set to trigger automatically based on behaviour.

  5. 5

    Measure and optimise

We track performance and adjust subject lines, timing and content based on what the list responds to.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Can we buy a list of companies in our city and mail them?
It is a poor idea. The addresses are rarely checked, the contacts did not ask to hear from you, and a bounce or a spam complaint hurts every mail you send afterwards. Build the list from companies you have a reason to write to, and say why you are writing.
Is a newsletter or a one-to-one mail better for a lessor?
For a short list of buyers, one-to-one mail is better, because each reader is a company that could lease dozens of vehicles. A newsletter suits introducers and clients who want a note when something changes, such as a charging network or a policy.
Our mails go to spam. What do we check?
First check that the sending domain has its authentication records set, then that the list is made of people who know you. Remove addresses that bounce, and avoid attachments in a first mail to a new contact. Ask a client to tell you what arrives.
Should the mail be signed by the company or by a person?
By a person, with a phone number, because a lease is a relationship. Choose the one who will answer, the account owner or the director. A finance head replies to a name, and she replies to a name she can call.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
