Banks · Follow up systems

Do not let a loan enquiry go cold because the loan officer got busy.

Follow-up systems for a bank means a defined schedule for contacting a customer again after an enquiry, a quote or a document request. A loan or account application should never stall simply because nobody followed up. GullySales sets this up as a routine your loan officers and branch staff can actually run.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For banks

Where it usually goes wrong, and what we would do.

  • “Document pending status is the most common place a loan stalls”

A loan application waiting on one missing document from the customer needs an active reminder, since customers often simply forget rather than decide against the loan.

  • “A follow-up needs a specific reason, not a generic nudge”

A message referencing the exact stage of the application, such as valuation being scheduled, feels helpful rather than pushy, unlike a vague check-in.

  • “Follow-up timing should match how the customer is actually deciding”

A customer comparing two banks needs a follow-up within days. One waiting on a family decision may need a longer, more patient interval, and treating both the same wastes effort.

What we do

What we deliver for banks.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Document-pending reminder routine

A scheduled reminder for a loan application waiting on one missing document, since customers often forget rather than decide against the loan.

Result: An application does not stall simply because a reminder was skipped.

  2. Stage-specific follow-up wording

Message templates referencing the exact stage of an application, such as valuation being scheduled, instead of a vague check-in.

Result: A follow-up feels helpful, not like a generic nudge.

  3. Follow-up timing by decision type

Different follow-up intervals for a customer comparing banks against one waiting on a family decision, rather than one schedule for everyone.

Result: A follow-up arrives when it is actually useful, not too soon or too late.

  4. Tracking of recovered enquiries

A count of stalled applications recovered through follow-up, reported alongside your other enquiry metrics.

Result: You can see whether follow-up is actually rescuing enquiries.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

This is what branch staff do next at each point where an application stalls.

Enquiry made, no application submitted
The relationship manager rings once to ask which product the customer needs and what is stopping him. Record the product, the reason and the next contact date in the lead sheet.
Documents pending
List the missing documents in a single message with a photograph example of each. Ask who will bring them and by when, and note the person's name.
Application logged, sanction pending
Tell the customer which stage the file is at and who in the branch holds it. Record the date you told him, so he does not have to call to ask.
Sanctioned but not disbursed
Ring to ask whether the property papers or the seller's confirmation are holding things up. Note the pending item and the person responsible.
Customer declined at the credit stage
Explain the reason in plain terms within what the bank permits you to share. Record the decision and a date to speak again if circumstances change.
Existing account holder, no second product
Look at the account records for a salary credit or a fixed deposit due and call the customer about a matching product. Note the response and the consent given for contact.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the follow up systems work runs

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Who is responsible for follow-up?
Whoever owns the enquiry, whether a loan officer, a relationship manager or a call centre agent, following a schedule we help set up and track.
How do we know if this is actually working?
By tracking how many stalled applications are recovered through follow-up, which we report as part of the ongoing work.
Can we follow up customers on WhatsApp?
Only through the channels and consent rules your own bank allows. Many banks set approved numbers, templates and recording rules for staff. Do not send personal or account details from a personal phone. Ask your compliance team what is permitted, and record each customer's consent before the first message.
What should staff do when a customer says he no longer needs the loan?
Record the reason, such as another lender, a changed plan or a delay in the purchase, and close the application in the system so it does not count as pending. Ask whether you may contact him later, and note his answer.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
