Orthotics and prosthetics makers · Email marketing

Keep referrers informed and patients reminded, with their consent.

Email marketing for an orthotics and prosthetics workshop means writing to the clinicians who refer, the institutions that buy, and the patients who agreed to be reminded of reviews. It is not a mass mailing. GullySales builds the lists from your own records and keeps patient information out of every mail.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

Last updated 11 Oct 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For orthotics and prosthetics makers

Where it usually goes wrong, and what we would do.

  • “Referrers hear from you only when you want something”

A surgeon who never gets an update on a referred patient stops referring, and email is a quiet way to say thank you.

  • “Review reminders are a service, not a promotion”

A note that a child's brace review or a limb adjustment is due is care and not an advertisement.

  • “Patient details do not belong in a subject line”

Email is read on shared phones and office computers, so nothing clinical goes in a subject.

What we do

What we deliver for orthotics and prosthetics makers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Separate lists for referrers, institutions and patients

Three lists from your own records with consent against each address and the source and date it was collected.

Result: Each group receives mail meant for it.

  2. A referrer update note

A short mail to a referring clinician that a referred patient was seen and fitted (with the patient's consent), with a line on how to refer again.

Result: A referrer is kept in touch and refers again.

  3. A review and adjustment reminder

A note to a patient who asked for reminders, saying a review is due and how to book, with no clinical detail in the subject.

Result: More patients return for the adjustment.

  4. An institutional capability mail

A mail to rehabilitation centres and hospitals describing what you supply, how orders are handled and who to contact.

Result: An institution has your details when a need arises.

  5. A consent and opt-out record

A log of where each address came from and for what, with a working unsubscribe.

Result: You can show why each person is on a list.

  6. Mail read against bookings

Which mail led to a review booked or a referral made, not only which was opened.

Result: You see which mail is worth sending again.

How the result is measured

What must be in place first

What an orthotics and prosthetics workshop needs in place before it emails referrers or patients.

Consent taken at registration
Add one line to the registration form for reminders and updates, and record the patient's choice of email or WhatsApp. A purchased list has no such record, and health data carries extra duties.
Care reminders kept apart from promotion
A review reminder is about a patient's own care. A camp invitation is promotion. Use two lists so a patient who opts out of camps still gets a review reminder.
Nothing clinical in the subject line
Write 'Your appointment at the workshop' and not the device or the condition. Mail is read on shared phones and office computers, and a diagnosis is the patient's private business.
Referrer mail only with the patient's consent
Tell a referring doctor that a patient was seen only if the patient agreed. Keep the note to the fact of the visit and not the clinical detail, unless your adviser says otherwise.
Advertising rules checked with your council
Rules on advertising a medical device and a health service differ by state and body and change. Keep the current guidance to hand and leave outcome claims and before-and-after images out.
A reply path to a named person
Send from the workshop's own domain with a reply-to that reaches the person who books visits. A parent who asks to move a review should hear from a person.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the email marketing work runs

  1. 1

    Understand your list

We review who is on the list, how they got there, and how long it has been since they last heard from you.

  2. 2

    Audit past sends

We check open and click rates from past emails to see what has and has not worked.

  3. 3

    Segment and plan

The list is split into meaningful groups and a sending calendar is agreed.

  4. 4

    Implement content and automation

Emails are written, scheduled and, where useful, set to trigger automatically based on behaviour.

  5. 5

    Measure and optimise

We track performance and adjust subject lines, timing and content based on what the list responds to.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we email every patient we have ever fitted?
Only those who agreed to reminders, and only about their own care. A general promotional mail to everyone breaches trust and may breach the data law. Keep a record of the consent for each person.
Should we buy a list of doctors?
No. A bought list has no consent record and many dead addresses. Build a referrer list from people you have met, who have referred or who asked to hear from you.
Email or WhatsApp for reminders?
Use whichever the patient chose. Email suits referrers and institutions. WhatsApp suits many families for a visit reminder. Ask at registration and record the answer.
Can the mail say what a device will achieve?
No. Keep to what the device is, how the visit works and how to book. Outcome claims about a medical device fall under advertising rules that differ by state and change.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
