Orthotics and prosthetics makers · Sales process

Set down the path from the first call to a device that is worn and adjusted.

A sales process for an orthotics and prosthetics workshop is the path from a first call or referral to assessment, fitting and follow-up, with a named person at each step. GullySales writes it for families and for institutions separately, and builds the records that show where people drop away.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What sales process means

A sales process is the fixed sequence of steps, such as enquiry, site visit, quote and order, that every deal is expected to pass through in the same order. GullySales writes this sequence down for your business and checks that every salesperson actually follows it.

Last updated 11 Oct 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For orthotics and prosthetics makers

Where it usually goes wrong, and what we would do.

  • “The decision is slow and emotional”

A family may take weeks to move from the first call to an assessment, and a sale pushed too hard is lost for good.

  • “The quote cannot be given before the assessment”

A price depends on the level, the components and the fit, so the first call has to explain that without sounding evasive.

  • “The sale does not end at delivery”

A device that is not adjusted is not worn, and a patient who stops wearing it does not refer.

What we do

What we deliver for orthotics and prosthetics makers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A step list for families and a step list for institutions

Each path in the words your team uses, with who does what at every step.

Result: Staff know what comes next at each point.

  2. First-call script and checklist

The questions to ask, what to explain and what to write down, in a calm order that does not push.

Result: A worried caller feels heard and leaves with a date.

  3. Assessment and quote template

A written estimate showing the device, components, visits included and what is extra, given after the clinician's assessment.

Result: The family sees exactly what they are agreeing to.

  4. Delivery and early follow-up routine

A call after delivery and a check on the date for the first adjustment, with notes in the record.

Result: Early problems are caught before the device is put away.

  5. Reasons for not proceeding, recorded

A short list: cost, travel, fear, chose elsewhere, referred back, no reply, with a note of what was said.

Result: The reason that repeats is the one you fix.

  6. A report on each stage

Enquiries, assessments, quotes, fittings and follow-ups kept, against the baseline recorded before work starts.

Result: You see which step loses people.

How the result is measured

  • Deals following the process
  • Time spent at each step
  • Drop-off rate by step

Recorded as a baseline before work starts, so every later report has an honest comparison.

Steps of a sale

The steps of a limb and brace workshop's sale, in the order they happen.

Enquiry or referral
Record who they are, the need, who referred them and consent for contact. Return the call the same day if it came after hours. A family that is not called back goes to the next name on the list.
First call and explanation
Explain the assessment, who will see them and what to bring, and send it on WhatsApp. Do not quote a firm price. Record the date offered and the person's reaction.
Assessment
The clinician sees the patient, measures and explains the options. Record the device agreed, the number of visits expected and any questions about cost or travel.
Quote and decision
Give the estimate in writing after the assessment and note the date. Call after a few days to ask whether anything is unclear. Record the answer, including no.
Fitting and delivery
Record the fitting date, what was explained about wearing and care, and who the patient should call. Agree and note the date for the first adjustment before they leave.
Follow-up and review
Call to ask how the device is being worn and book the adjustment. Record the answer. A patient who wears the device and was looked after is the person who refers a neighbour.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the sales process work runs

  1. 1

    Study current deal flow

We trace how deals actually move today, comparing across reps and outcomes.

  2. 2

    Define the stages

Clear stages and criteria are designed to match how deals genuinely progress and close.

  3. 3

    Configure the CRM

The process is built into your CRM so it is enforced structurally, not just documented.

  4. 4

    Train the team

Reps are trained on the new process and why each stage exists.

  5. 5

    Review adoption

We check after rollout whether the process is being followed and adjust where it is not.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

What do we say when a family asks the price on the first call?
Say plainly what it depends on, such as the level, the components and the number of visits, and invite them to an assessment where the clinician can give a firm estimate. Offer to send the process on WhatsApp so they have it in writing.
When should a quote be given?
After the clinician has seen the patient, in writing, with what is included and what is extra. Record the quote against the person so the next call can refer to it.
How do we handle a family comparing with a cheaper workshop?
Ask what the other workshop included, and explain what yours includes: clinician, materials, follow-up. Do not criticise the other. A family that wants the lowest figure and nothing else may not be the right patient for you.
Who should do the follow-up after delivery?
The clinician who fitted the device, or the desk with the clinician's list. Record the call and what the patient said. A call that finds a problem early is worth many reminders.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
