Backpacker hostels · WhatsApp marketing

Answer the traveller on the app they already have open, and book the bed in the chat.

WhatsApp marketing for a backpacker hostel is the use of WhatsApp Business for enquiries, bookings, pre-arrival notes and consented updates to past guests. GullySales works on the profile, the saved replies and the rules that keep the number useful without making it a nuisance.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For backpacker hostels

Where it usually goes wrong, and what we would do.

  • “Travellers switch from the platform to chat”

A guest finds you on Maps or Instagram and taps the green button because a chat feels easier than a form. The hostel that answers well in that chat gets the booking without a commission.

  • “A personal number cannot carry the business”

A desk phone passed between volunteers loses history and mixes private chats with guest chats. A business profile with labels and saved replies keeps the thread with the hostel.

  • “Broadcasts to strangers cost the number”

Sending promotions to people who never agreed leads to blocks and reports, and a blocked number damages the sender's standing. Only guests who opted in should receive event or return offers.

  • “Groups ask for a single thread”

An organiser with twelve friends wants to ask once and forward the answer. A clear message with rates, check-in and rules lets the organiser pass it on without a call.

What we do

What we deliver for backpacker hostels.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A WhatsApp Business profile set up properly

Name, description, hours, address and catalogue of dorms and rooms, with a link to the booking page.

Result: The profile reads like the front desk.

  2. Saved replies for the common questions

Ready answers for dates, rates, safety, female dorm, groups and long stays, each editable for the guest.

Result: The first answer is complete and consistent.

  3. Labels and a handover routine

Tags such as new enquiry, group, long stay and booked, with a note for the next shift.

Result: Staff see where each chat stands.

  4. An opt-in route for updates

A request at check-in or on the booking page to receive event and return messages, with a clear stop option.

Result: The update list holds only guests who said yes.

  5. A broadcast plan for events and quiet nights

Short messages to the opted-in list for walks, dinners and long-stay offers, written to be useful and not constant.

Result: Each broadcast has a reason and an audience.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Can we use the WhatsApp Business app, or do we need the API?
The app suits a small hostel with a few people on the desk. The API is for larger volume and integration. Check the platform's current rules and the cost before choosing.
Is it fine to message guests after they leave?
Only if they agreed to hear from you. Ask at check-in or checkout, record the answer, make stopping easy, and keep messages few and relevant.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
