Heritage hotels · WhatsApp marketing

Let the guest message the hotel the way they message everyone else.

WhatsApp marketing for a heritage hotel is the use of the business number to answer enquiries, share photographs and rates and stay in touch with guests who have agreed to hear from the hotel. GullySales works on the setup, the replies and the consent.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For heritage hotels

Where it usually goes wrong, and what we would do.

  • “The family messages at night”

A guest comparing three stays asks about a room late in the evening, and the first hotel to send a photograph and a rate keeps the conversation. A saved reply and a clear opening line matter more than a polished brochure.

  • “The owner's personal number is the real enquiry line”

Planners and returning guests message the owner directly, and the details live in a private chat nobody else can read. The business number needs to take over without losing the personal touch.

  • “Operators send their requests on WhatsApp too”

Availability, group lists and changes arrive as messages with pictures of a passport or a list. These need a place to land, a person to see them and a safe way to store what they contain.

  • “A broadcast to everyone annoys the right people”

Sending the same offer to past guests, operators and planners tells each of them they are on a mass list. Separate lists with a reason for each keep the number welcome.

What we do

What we deliver for heritage hotels.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business number set up

A WhatsApp Business profile with the hotel's name, address, hours, catalogue of rooms and a greeting.

Result: The profile looks like the hotel.

  2. Saved replies for common questions

Rooms, rates, directions, dinner, events and check-in, written in the hotel's voice.

Result: A first reply goes out with a photograph and a rate.

  3. A catalogue of rooms and experiences

Rooms, dinners and walks listed with pictures and prices where the hotel wishes to show them.

Result: A guest can browse the stays on a phone.

  4. A consent and list rule

Who may be messaged, how consent is recorded and how a guest can stop.

Result: Every contact on a list has agreed to be there.

  5. A reply owner for each hour

A rota of who watches the number on busy and quiet days.

Result: No message waits for an absent person.

  6. A hand-off to the record

Each conversation noted in the shared guest sheet, with the source marked.

Result: A WhatsApp enquiry shows up in the source count.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we send offers to all past guests?
Only to those who have agreed to hear from you, and check the platform's current rules on business messaging. Keep lists small and relevant, and give every guest an easy way to opt out.
Should operators be messaged on WhatsApp?
If they use it, yes, with a separate list and a written rate sheet. Keep confirmations in writing in the record, as a chat can be lost.
What about guest documents shared on chat?
Keep them only as long as needed and move them to a safe place. Check with your own adviser what rules apply to identity documents held on a phone.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
